    AAP/Communication Assistant

    Location: Katsina State -Batsari, Danmusa, Dutsinma, Kurfi and Safana LGAs.
    Contract Duration: 3 Months with the possibility of renewing

    Job Purpose:

    The AAP (Accountability to Affected Populations)/Communications Assistant will support the implementation of communication, community engagement, and accountability activities within the project. This role will focus on ensuring effective two-way communication between the organization and the affected communities, ensuring that community feedback is collected, acted upon, and reported appropriately. The AAP/Communications Assistant will also assist with communications efforts to raise awareness about the project, engage with stakeholders, and ensure that information is accessible to diverse groups, including vulnerable populations.

    Key Responsibilities:

    Community Engagement and Feedback Mechanisms:

    • Assist in the design, implementation, and management of community feedback and complaints mechanisms (CFCM) to ensure that affected populations have a platform to voice concerns, suggestions, and complaints.
    • Support the collection and analysis of community feedback, ensuring that it is acted upon in a timely manner and reported to the relevant stakeholders.
    • Assist in organizing community consultations, focus group discussions, and meetings to gather feedback and involve communities in decision-making processes.
    • Ensure that feedback received from the community is categorized, tracked, and communicated back to affected populations through the appropriate channels.

    Communication Support:

    • Assist with the development and dissemination of information, including newsletters, reports, posters, flyers, and social media content, to keep affected populations and stakeholders informed about the project’s objectives, activities, and impact.
    • Help in creating and maintaining communication channels that ensure the timely and accurate flow of information to and from beneficiaries, local partners, and stakeholders.
    • Support the communications team in producing content that highlights the project\'s achievements, success stories, and lessons learned.
    • Translate materials and messages as needed, ensuring that information is accessible and culturally appropriate for the target audience.

    Monitoring and Reporting:

    • Regularly monitor the effectiveness of community engagement efforts and the functioning of the accountability mechanisms, providing recommendations for improvements.
    • Assist in preparing progress reports and updates on AAP activities, highlighting key achievements, challenges, and community feedback.
    • Help with maintaining accurate records of all communications, feedback, and complaints received from affected populations.

    Stakeholder Engagement and Liaison:

    • Assist in coordinating with local authorities, community leaders, and partner organizations to ensure that community concerns and feedback are addressed in line with the project’s objectives.
    • Facilitate the exchange of information between community members and external stakeholders, ensuring that all parties are informed of the project’s activities and progress.

    Promote Transparency and Accountability:

    • Support efforts to create awareness within the community about the accountability mechanisms and the ways they can participate in project activities.
    • Promote transparency by ensuring that feedback is shared back with the communities, demonstrating that their voices are heard and valued.
    • Assist in ensuring that all community engagement and communication activities adhere to the principles of accountability, inclusivity, and respect for privacy and confidentiality.

    Capacity Building and Training:

    • Support the training of staff and partners on the principles of AAP, community engagement, and effective communication strategies.
    • Assist in developing and delivering awareness sessions for communities on their rights to give feedback, lodge complaints, and engage in decision-making processes.

    Qualifications:

    • Education: Bachelor’s degree in Communications, Social Sciences, International Development, or a related field.

    Experience:

    • 1-2 years of experience in community engagement, communication, or AAP-related work, ideally in humanitarian or development contexts.
    • Familiarity with tools and methods used in collecting community feedback, including surveys, focus groups, and interviews.
    • Experience in supporting communication campaigns or programs aimed at informing and engaging communities.

    Technical Skills:

    • Basic knowledge of graphic design tools or content creation platforms (e.g., Canva, Adobe Creative Suite) is an advantage.

    Admin Assistant

    Reports To: Logistics and procurement  Manager

    Project: : WFP-Community-Based Nutrition Support Programme (Tom Brown Approach)

    Contract Duration:3 months with the possibility of renewing

    JOB PURPOSE

    The Administrative Assistant will serve as the backbone of GHIV Africa’s daily operations. A huge part of the job is handling the logistics/reservations of staff, from organizing staff travel by booking flights and accommodations, setting up the space for workshops and trainings. The person will keep the office physically running, whether that’s supervising the office cleaners or making sure the building and equipment are well-maintained and repaired when things break down.

    The person will be the one making sure meeting minutes are turned in every week and that all contracts and administrative files are organized and easy to find. He/she will also track the organization’s MOUs so they do not expire unexpectedly, will act as the main keeper of the asset register, checking on equipment every quarter to put together reports for his/her supervisor.

    The Administrative Assistant will also play a key role in managing the office by linking administrative duties with the Finance Unit. This means staying on top of supplier payments to make sure everyone is settled up on time, monitoring and controlling administrative/office expenses and budget. Ultimately, the person will be directly supervising office. The position requires highl coordination and careful record-keeping, all aimed at keeping GHIV Africa’s operations professional and efficient.

    Objectives

    • Office Operations & Efficiency: Ensuring smooth, day-to-day office functions by coordinating, organizing, and managing office space and resources.
    • Communication Management: Acting as the main point of contact, managing calls, emails, and greeting visitors professionally.
    • Scheduling & Coordination: Maintaining complex calendars, organizing meetings, travel arrangements, and conferences.
    • Documentation & Records: Maintaining, filing, and organizing GHIV Africa’s physical and electronic documents to ensure quick retrieval.
    • Resource & Inventory Management: Monitoring and replenishing office supplies, and ensuring equipment is maintained.

    Admin Assistant Responsibilities

    • The Administrative Assistant will oversee admin support functions for GHIV Africa.
    • Coordination of travel/accommodation arrangements for GHIV staff and stakeholders.
    • Oversee Flight booking for all staff.
    • Take weekly staff meeting minutes and submit it before the last day of the week.
    • Making arrangements for all training, workshops, meeting and general day-to-day administration in terms of compound and equipment maintenance and repairs.
    • Ensure that all activities are accurately documented and arranged.
    • Secure and systematic filing of all administrative-related documents, contracts, etc.
    • Track all MOU in the organization to ensure they are up to date and renew the once due for renew.
    • Be the custodian of the asset register and ensure Quarterly follow-up and generate report together with the supervisor.
    • Direct Supervision over office cleaners and casual workers.
    • Monitor and control administrative/office expenses and budget.
    • Follow up with the Finance Unit to ensure that suppliers\' accounts are settled on time.

    Education and experience 

    • Education: National Diploma or equivalent is minimum, though an associate or bachelor\'s degree in business administration, office management, or a related field is highly preferred.
    • Experience:1-2years of previous experience in clerical, receptionist, or administrative support roles.
    • Technical Knowledge: Proficiency in office management software (e.g., MS Office Suite, Google Workspace, databases, and video conferencing tools).

    Logistics Assistant

    Reports To: Logistics Officer

    Project: : WFP-Community-Based Nutrition Support Programme (Tom Brown Approach)

    Duties/Responsibilities of this role:

    Warehouse Management

    1. Ensure periodic cycle counts are conducted per GHIV Africa policy to maintain accurate stock records.
    2. Conduct fiscal year-end stock inventories and generate comprehensive inventory reports together with officer upward review.
    3. Assist programs in developing and implementing effective stock distribution plans to prevent expired items or grant closures affecting stock.
    4. Provide ongoing training and support to storekeepers to enhance their performance and reporting accuracy.
    5. Oversee warehouse operations in GHIV operational LGAs, ensuring proper stock-keeping, optimal storage conditions, security, and facility maintenance.
    6. Prepare and finalize monthly expendables store reports, detailing stock movements and remaining balances.
    7. Maintain warehouse security, efficient stock management, and proper documentation.

    Asset Management

    1. Track, maintain, and record all GHIV Africa assets to ensure an up-to-date asset database.
    2. Ensure all staff in acknowledge accountability for assigned assets using GHIV Africa receipt forms.
    3. Implement and monitor asset maintenance systems and procedures.
    4. Conduct quarterly physical asset verification and submit reports to the Logistics Manager.
    5. Coordinate with the Logistics Manager and Finance team to review and implement asset disposal in compliance with GHIV Africa and donor regulations.
    6. Maintain an updated filing system for all asset records.
    7. Ensure retrieval and reassignment of assets upon staff departure.

    Fleet and Transport Management

    1. Oversee transport fleet operations, ensuring efficient vehicle allocation in coordination with program teams and the Logistics Manager.
    2. Implement systems to track and account for transported goods.
    3. Collect, review, and ensure proper completion of vehicle log sheets.
    4. Manage and supervise drivers to ensure compliance with transport policies.
    5. Ensure all vehicles carry required documentation and that licenses and insurance are up to date.
    6. Maintain security measures for all vehicles when not in use.
    7. Manage the procurement, inventory, and distribution of vehicle-related parts, consumables, and fuel.
    8. To carry out any other duties assigned to.

    Logistics Officer

    Reports To: Procurement and logistics Manager

    • Coordinate with vendors and suppliers for timely delivery and resolve any logistical issues that arise.

    • Assist in preparing and reviewing procurement documents, such as purchase orders and contracts.

    Nutrition Coordinator

    Duty Station: Katsina State -Will be overseeing activities in Batsari, Danmusa, Dutsinma, Kurfi and Safana LGAs
    Reports to: Project Manager
    Contract Duration: 3 with the possibility of renewing

    Job Purpose

    The Nutrition Coordinator will provide overall technical leadership, programme coordination, and oversight for the implementation of the WFP-supported community-based nutrition intervention in Katsina State. The role will ensure effective planning, implementation, monitoring, and reporting of programme activities across the targeted LGAs.

    The Nutrition Coordinator will work in close collaboration with the Katsina State Government, particularly the Katsina State Primary Health Care Development Agency (KSPHCDA), and LGA health authorities to ensure that programme activities are aligned with government priorities, strengthen existing health systems, and contribute to sustainable nutrition outcomes.

     

     

    Key Responsibilities

    Programme Leadership and Technical Oversight

    • Provide overall leadership and technical guidance for the implementation of community-based nutrition activities across the targeted LGAs.
    • Ensure effective implementation of the Tom Brown nutrition intervention in accordance with WFP guidelines and national nutrition standards.
    • Oversee community-based nutrition activities, including MUAC screening, beneficiary enrolment, follow-up, and growth monitoring.
    • Ensure effective functioning of Tom Brown care groups and community nutrition structures.
    • Monitor the preparation, distribution, and appropriate utilization of Tom Brown blended flour within communities.

    Government Coordination and Partnership

    • Serve as the primary focal point between GHIV Africa and the Katsina State Government, particularly the Katsina State Primary Health Care Development Agency (KSPHCDA).
    • Coordinate closely with KSPHCDA and LGA Primary Health Care teams to jointly plan and implement programme activities.
    • Facilitate joint supportive supervision visits and programme monitoring with government partners.
    • Ensure programme activities are aligned with national nutrition guidelines, state health policies, and WFP programme standards.
    • Participate in state and LGA nutrition coordination meetings, technical working groups, and other government-led platforms.
    • Strengthen collaboration between community structures, primary health care facilities, and government nutrition programmes.
    • Provide regular updates to KSPHCDA and relevant government stakeholders on programme progress and implementation challenges.

    Team Management and Capacity Building

    • Supervise and provide technical support to Nutrition Officers and Nutrition Assistants.
    • Support training and mentorship of Facilitators, Community Nutrition Mobilizers (CNMs), and Lead Mothers.
    • Strengthen the capacity of community structures to implement nutrition activities effectively.

    Programme Coordination and Operations

    • Oversee coordination of grain redemption at vendor sites for Tom Brown production.
    • Ensure proper distribution and management of Non-Food Items (NFIs) required for Tom Brown activities.
    • Ensure the availability and proper use of programme data collection tools and monitoring systems across project sites.

    Monitoring, Reporting and Documentation

    • Oversee programme data collection, beneficiary tracking, and performance monitoring.
    • Ensure accurate and timely programme reporting to GHIV Africa management and WFP technical staff.
    • Compile and submit monthly programme progress reports.
    • Monitor programme performance and recommend improvements where necessary.

    Accountability and Risk Management

    • Ensure compliance with organizational policies, safeguarding standards, and donor requirements.
    • Ensure timely reporting and management of programme incidents or operational challenges.
    • Promote accountability and transparency in programme implementation.
    • Carryout any other duties assigned to.

    Qualifications and Experience

    • Master’s /Bachelor’s degree in Nutrition, Public Health, Community Health, Nursing, or a related field. 
    • Previous experience in managing WFP-funded projects is an added advantage. 
    • Minimum 4-5 years of experience in nutrition programme management, preferably in humanitarian or development contexts.
    • Experience working on community-based nutrition programmes such as CMAM, MIYCN,  TSFP using the Tom Brown approach or similar interventions.
    • Proven experience coordinating programmes with government health institutions and development partners.
    • Experience supervising field teams and managing multi-location programmes.

    Skills and Competencies

    Security Assistant

    JOB RESPONSIBILITY

    Security Planning & Monitoring

    • Identify early warning signs of conflict or bandit activity and alert program staff to adjust movements accordingly.
    • Maintain and update a comprehensive incident tracking database for the coverage area.
    • Facilitate safe staff movements by conducting route reconnaissance and advising on safe travel times and alternative routes.
    • Ensure all staff and assets comply with Movement Standard Operating Procedures (SOPs), including procedures and check-in/check-out protocols.
    • In line with the local context, advise teams on communication security, including the safe use of phones and radios, given the ban on commercial charging points in the region which indicates sophisticated monitoring by armed groups.
    • Conduct basic safety audits of offices, guesthouses, and storage facilities in the operational areas.
    • Establish and maintain a network of local informants and contacts, including community leaders, youth groups, and local security forces (military/police) to gather timely information.
    • Represent GHIV Africa at local security meetings coordinated by NGOs (INGSO/NNGO forums) or government bodies in Katsina.
    • Liaise with the Police Divisional Officers (DPOs) and military units in the LGA to ensure smooth acceptance of GHIV Africa activities.
    • Conduct basic security briefings for new staff or visitors arriving in the operational areas.
    • Train staff and incentive workers on personal security awareness, hostage survival, and situational awareness.
    • Support the dissemination of security alerts and advisories to all team members.

    Qualifications, Skills and Competence 

    • Completion of secondary school (SSCE) is required.
    • Additional training or certification in security management, peace studies, or military/police science is an advantage .
    • Minimum of 3-5 years of progressive work experience in a security-related role, preferably with an NGO, UN agency, or security forces.
    • Must have demonstrable knowledge of the Katsina context, specifically the terrain, cultural dynamics, and armed group activity in our implementing locations.
    • Experience working in armed conflict or banditry-prone environments is highly desirable 

    Additional Requirements

    • Fluency in English, Hausa and Fulani.
