    Hotel Accountant / Admin Officer

    Role Description

    • The Accountant / Administrative Officer is responsible for managing the hotel’s financial records, ensuring administrative efficiency, and supporting management in day-to-day operations to promote accountability, compliance, and smooth business operations.

    Responsibilities
    Financial & Accounting:

    • Maintain accurate financial records, including daily income, expenses, and cash flow.
    • Prepare daily, weekly, and monthly financial reports for management review.
    • Handle invoicing, receipts, payments, and proper documentation of transactions.
    • Manage payroll processing, staff salaries, and statutory deductions.
    • Monitor budget implementation and control operational costs.
    • Reconcile bank statements and manage petty cash.
    • Ensure proper stock valuation and cost tracking in collaboration with store and operations staff.

    Administrative:

    • Maintain staff records, employment files, and attendance documentation.
    • Support recruitment documentation, contracts, and onboarding processes.
    • Manage office supplies, records, and general administrative systems.
    • Coordinate communication between management and staff.
    • Ensure compliance with internal policies and operational procedures.

    Compliance & Audit:

    • Ensure compliance with tax regulations, government levies, and statutory requirements.
    • Prepare documents for internal and external audits.
    • Liaise with auditors, banks, and regulatory agencies when required.

    Operational Support:

    • Work closely with hotel management to improve financial efficiency.
    • Support departmental heads with financial data and analysis.
    • Monitor revenue from rooms, food & beverage, and other hotel services.

    Reporting & Advisory Role:

    • Provide financial advice to management for informed decision-making.
    • Highlight financial risks, discrepancies, and improvement opportunities.

    Hotel Supervisor

    Role Description

    • The Hotel Supervisor is responsible for overseeing daily hotel operations, ensuring high service standards, staff discipline, guest satisfaction, and smooth coordination between departments.

    Responsibilities
    Operational Supervision:

    • Supervise daily hotel operations across all departments (front office, housekeeping, food & beverage, security, and maintenance).
    • Ensure rooms, public areas, and facilities are clean, functional, and guest-ready at all times.
    • Monitor staff attendance, punctuality, grooming, and work performance.
    • Ensure adherence to hotel policies, procedures, and service standards.

    Guest Service & Relations:

    • Ensure excellent guest service and promptly resolve complaints and issues.
    • Attend to VIP guests and handle escalated guest concerns professionally.
    • Ensure proper check-in, check-out, and guest handling procedures.

    Staff Management:

    • Allocate duties and prepare staff duty rosters.
    • Train, coach, and mentor staff on service delivery and workplace conduct.
    • Report staff misconduct, absenteeism, or performance issues to management.

    Reporting & Documentation:

    • Prepare daily operational and incident reports.
    • Monitor daily sales, occupancy levels, and operational activities.
    • Communicate operational challenges and recommendations to management.

    Safety, Security & Compliance:

    • Ensure safety, security, and hygiene standards are maintained.
    • Enforce compliance with health, safety, and regulatory requirements.
    • Liaise with security personnel to prevent theft, loss, or misconduct.

    Inventory & Cost Control:

    • Monitor the use of hotel supplies and prevent wastage.
    • Report maintenance needs, damages, or equipment faults promptly.

    Management Support:

    • Act as a link between management and staff.
    • Perform any other duties assigned by management in line with hotel operations.

    Role Description

    • The Housekeeping Supervisor is responsible for overseeing housekeeping operations, ensuring cleanliness, hygiene, and presentation of guest rooms and public areas in line with hotel standards.

    Responsibilities
    Supervision & Operations:

    • Supervise daily housekeeping activities, including room attendants and cleaners.
    • Allocate duties, prepare duty rosters, and assign rooms to housekeeping staff.
    • Inspect guest rooms, bathrooms, and public areas to ensure cleanliness and readiness.
    • Ensure rooms are properly prepared before guest check-in.

    Quality Control:

    • Maintain high standards of cleanliness, hygiene, and presentation.
    • Ensure proper use of cleaning chemicals, equipment, and materials.
    • Conduct routine room inspections and corrective follow-ups.

    Staff Management:

    • Monitor staff attendance, punctuality, grooming, and performance.
    • Train and retrain housekeeping staff on cleaning procedures, hygiene, and safety.

    Inventory & Linen Control:

    • Manage and control linen, towels, toiletries, and housekeeping supplies.
    • Record and report shortages, damages, or losses.

    Maintenance & Safety:

    • Report maintenance issues, damages, and faulty equipment promptly.
    • Ensure compliance with health, safety, and hygiene regulations.
    • Promote a safe working environment for staff and guests.

    Reporting & Coordination:

    • Prepare daily housekeeping reports and room status updates.
    • Coordinate with the front office and maintenance departments.
    • Handle guest requests and complaints related to housekeeping professionally.

    Management Support:

    • Carry out any other duties assigned by management in line with housekeeping operations.

    Housekeeper

    Role Description

    • A Housekeeper is responsible for maintaining cleanliness, hygiene, and proper arrangement of guest rooms and public areas to ensure guest comfort and satisfaction.

    Duties & Responsibilities

    • Clean and tidy guest rooms, bathrooms, and balconies according to hotel standards.
    • Make beds, change linens, and replace towels as required.
    • Clean public areas such as corridors, lobbies, staircases, and restrooms.
    • Replenish room supplies including toiletries, water, and amenities.
    • Report maintenance issues, damages, or lost items to the supervisor.
    • Handle guest requests politely and professionally.
    • Follow hygiene, safety, and infection-control procedures.
    • Use cleaning equipment, chemicals, and supplies properly.
    • Ensure proper handling of linen, uniforms, and cleaning materials.
    • Maintain confidentiality and respect guest privacy at all times.

    Work Ethics & Conduct:

    • Resume duty on time and follow assigned duty rosters.
    • Wear clean uniforms and maintain good personal grooming.
    • Adhere strictly to hotel rules, policies, and instructions.

    Other Responsibilities:

    • Assist in deep cleaning exercises when required.
    • Perform any other duties assigned by the Housekeeping Supervisor or Management.
