Job Summary
The Events & Experiences Coordinator is responsible for planning, organizing, and executing all guest activities and on-site experiences at the resort. This includes daily recreational activities (e.g., horse riding, quad biking, pottery, paint-and-chill), weekend events, group experiences, and private celebrations. The role ensures smooth operations, exceptional guest engagement, safety, and presentation of every experience.
Key Responsibilities
- Experience Coordination
- Plan, schedule, and execute all guest activities and experiences (daily, weekend, and special events).
- Coordinate experiences such as paint & chill, horse riding, quad biking, water activities, pottery, archery, movie sessions, etc.
- Ensure each activity starts on time, is properly set up, and runs smoothly from start to finish.
- Maintain a weekly experiences calendar and communicate updates to relevant departments.
- Event Execution
- Assist with planning and coordinating resort events, celebrations, proposals, birthdays, group retreats, and seasonal activities.
- Ensure proper setup, decoration, materials, and staff coordination for events.
- Serve as on-ground lead for all assigned events, ensuring flawless delivery
- Guest Interaction & Satisfaction
- Greet guests warmly and guide them through scheduled activities.
- Answer questions, provide instructions, and ensure guests feel safe and engaged.
- Handle guest concerns promptly and escalate issues to the supervisor.
- Gather feedback after activities and document improvement opportunities.
- Operations & Logistics
- Ensure all activity equipment, tools, and spaces are clean, safe, and ready before use.
- Track inventory of materials (paint supplies, helmets, boots, tools, kits, etc.).
- Liaise with vendors (e.g., horse handlers, quad bike operators) to ensure quality and safety.
- Monitor crowd control and participant flow for smooth experiences.
- Safety & Compliance
- Ensure all experiences meet Ziba’s safety standards and protocols.
- Conduct pre-activity and post-activity safety checks.
- Brief guests on safety procedures for high-risk activities (quad bikes, horse riding).
- Administration & Reporting
- Log all activities, incidents, and asset usage.
- Ensure payment verification for paid experiences before participation.
