    Office Assistant (Mail Room Officer)

    ACTIVITIES

    • Ensure received registered mails from Port Harcourt & Abuja office are confirmed against attached manifest.
    • Ensure received registered and unregistered mails from Paris, Abuja, Port Harcourt Offices, are sorted
    • and separated according to the different floors for sharing.
    • Ensure sorted registered mails are entered in logbooks for recipient's signature.
    • Ensure sorting of bulk unregistered mails and magazines from Post Office, HQ in Paris, Abuja, Port Harcourt
    • Offices for onward delivery to individual addressees.
    • Ensure official letters, bulk mails (i.e., cartons, packages etc.) generated within Lagos Office enroute
    • Port Harcourt, Abuja, Paris Offices, and other locations are entered into manifest / logbook.
    • Proper functioning of the Stationery Store; Issue items to requestors, take stock of items in Store, and ensure timely replenishment of stock through Purchasing by C&P.
    • Monitoring of mailroom internal logbook.
    • Ensure up-to-date inventory & storage of office furniture & equipment in Eko Towers.
    • Ensure delivery of approved requests for office furniture & equipment in Eko Towers.
    • Manage requests in Kimoce for office furniture and ensure close-out within SLA.

    CONTEXT AND ENVIRONMENT

    • Service holder’s activities are within the office premises in Lagos. Service holder interfaces with airport shuttle drivers, secretaries in Deepwater office, related internal C & P Contract Engineers, courier firms, supply vendors, & airport shuttle drivers and Abuja/Port Harcourt/ Paris office Mailroom correspondents.

    ACCOUNTABILITIES

    • Negligence in discharge of duties could have grievous repercussions.
    • Official Documents / Letters not handled correctly could tarnish Company image, result in payment of fines as a penalty for missing deadlines set by government authorities.
    • Running out of required stationery would slow down administrative operations.

    QUALIFICATIONS / EXPERIENCE REQUIRED

    • OND / HND with at least 2 years work experience
    • Ability to communicate adequately in English Language

    Electromechanical Engineer

    SERVICE PURPOSE

    • To ensure Company’s Office and residential facilities are always maintained, operational, fit and safe for employees and their families’ use and to ensure all electromechanical equipment are functioning at optimal condition so that employees work and stay under the best conditions, at reduced operating costs.

    SERVICE CONTENTS/PROBLEM SOLVING (ACTIVITIES)

    • Ensure Company’s HSE objectives are met through awareness and compliance by Contractors in all our activities; coordinate HSE activities and report same for the department.
    • Coordinate and monitor all maintenance (corrective, PPM, Modification) activities of electromechanical installations in the Office and residential locations.
    • Ensure all “As-built” Drawings of electromechanical installations are updated after every modification works.
    • Assist in the office space management works to include modifying fire safety protection and localised power interface system for every occupant.
    • Ensure all electromechanical works requests are carried out by Facility Managers/Contractors, completed satisfactorily within SLA, safely, in a cost-efficient manner.
    • Participate in new projects’ handover and integration and report same.
    • Participate in facility Integration meetings, inspections and follow up of new project as may be required from time to time.
    • Ensure close out of outstanding Punch/Snag lists emanating from projects after handover.
    • Ensure all electromechanical equipment (personnel lifts, UPS, fire safety and protection equipment, etc) in all locations are safely operational for staff use.
    • Prepare call for tender documents and review with Manager, launch CFT and follow up with C&P as necessary.
    • Develop and implement cost reduction initiatives such as analysing/verifying quotes from in-house Facility Manager  for required goods or services to maximize value for money and ensure cost-effectiveness;
    • Supervise general maintenance and repair works carried out by Facility Managers required to keep the Facilities in good working condition;
    • Conduct and document regular facilities inspections and provide prompt response to requests and issues from Users;
    • Any other duty as may be assigned to him by hierarchy

    CONTEXT AND ENVIRONMENT

    • Conflict of interest in leased Facilities directly managed by Landlord’s FM requires extensive follow up for major equipment replacement.
    • Optimizing workspace within the tower is challenging due to fixed available floor space.
    • Intervention works require immediate and prompt attention.
    • Poor quality Contractors and artisan requiring extensive supervision both in technical and HSE matters.
    • Payment terms and procedure are discouraging and quite slow for contractors.
    • Long waiting period for Contract agreement formalization.
    • Non availability of original and good quality materials and spare parts.
    • Diverse cultural, language and environmental background of clients affects expectation on service delivery
    • Customer’s deadline doesn’t take into consideration the extremely stressful traffic situation and impact on personal health.
    • Extra hours, weekends and Public Holidays are usually required for emergencies or to meet deadlines.
    • Doing more with increasingly less resources.

    ACCOUNTABILITIES

    • Ensures that electromechanical equipment and systems are working continuously safe and optimal.
    • Ensures service requests are attended to within SLA and to the satisfaction of the Requester, ensuring feedback.
    • Coordinate and monitor all maintenance (corrective, PPM, Modification) activities of electromechanical.
    • Ensures Vendor’s Job Orders are approved promptly to avoid unnecessary delays in jobs execution.
    • Facilitates prompt payment of Vendors for works completed.
    • Generate Snag list for every new Project and ensure all are closed out before or shortly after Project handover to the Users.

    HSE OBJECTIVES

    • Coordinate HSE activities and report same for the department.
    • Perform assigned responsibilities safely and report any incident, unsafe act or operation.

    QUALIFICATIONS / EXPERIENCE REQUIRED

    • B. Sc degree or equivalent in Electrical / Electrical-Electronics Engineering with minimum 4 to 8 years’ experience.
    • Must be confident and resolute when dealing with contractors with organizational ability
    • Good contract management, planning and cost control experience.
    • Good interpersonal relation, personnel management and negotiation skills
    • Job holder must be ready to work during weekends & publics holidays

    Facilities Manager

    SERVICE PURPOSE

    • This Service is created to coordinate the efficient management of recreational and conviviality facilities as well as other estate services function within KBR which includes but not limited to onboarding of residents after apartment allocation, furniture allocation management, carpark management, satellite TV system management, and other building services etc.

    SERVICE DIMENSIONS

    • Budget: This Service contributes to the Kuramo Beach Residence $1.4M Facility Management annual budget.
    • Production: This position ensures the efficient management (booking, allocation and used) of common facilities in line with the KBR Rules and Regulation as well as aid in coordination of Estate Services activities such as fumigation, furniture management, carpark management, apartment allocation/returning etc .
    • Statistics: This includes activities in 143 apartments, 2 reception halls, drivers lounge, communal kitchen for BQs, adult and children swimming pools, children play area, football pitch, BBQ area, Pergola area, 1no. Gymnasium, and indoor sport hall.
    • People: This Service supervises Estate Services contractors as well as event planners contracted by residents who desires to use common areas (refer to KBR Rules & Regulations)

    SERVICE CONTENTS/PROBLEM SOLVING (ACTIVITIES)

    • Ensure full subscription of all residents to the KBR Rules & Regulation with evidence of sign -off
    • Ensure the full implementation of the KBR Rules & Regulations
    • Ensure that the KBR Rules & Regulations are respected by all concerned (residents, visitors, contractors, staff).
    • Sensitize all the residents on the availability, efficient use, safe practices, and habits when using the above listed recreational and conviviality facilities in line with the KBR Rules & Regulations
    • Inspect and ensure the readiness of apartments either at allocation or returning at lease expiration.
    • Ensure strict implementation of hygienic rules within the recreational & conviviality facilities.
    • Coordinate and interact with all residents with respect to the booking and using of the recreational and conviviality facilities.
    • Coordinate and monitor in conjunction with the security team, the activities and movement of external event planners, caterers, vendors etc when such services are requested by residents in accordance with the KBR Rules & Regulations.
    • Suggest, propose, and conduct projects which will provide better living and interactions amongst the residents of KBR.

    CONTEXT AND ENVIRONMENT

    • This person shall be based at KBR and shall be an integral part of Facility Management & Administration team.
    • He operates in permanent partnership with other services providers at KBR such as Security department and the
    • Facility Management Company all located at KBR.

    ACCOUNTABILITIES

    • This person ensures probity and accountabilities, good sense of organization and communication, ability to work under pressure with other service providers within KBR.
    • Strong knowledge of Health, Safety, Environment as well as Security procedures is required
    • Must be pragmatic, concise, and firm in the management of recreational and conviviality facilities.
    • Capacity of working in autonomy, taking initiatives, flexible and a hard worker.

    HSE OBJECTIVES

    • Familiarize self with COMPANY emergency procedures, carry out assigned responsibilities safely and report any incident, unsafe act, or operation.
    • Ensure all external vendors under his / her supervision are inducted and are made to be aware of their (vendor’s) HSE responsibilities with continuous monitoring to check compliance while vendors are within KBR.

    QUALIFICATIONS / EXPERIENCE REQUIRED

    • Fluent written and spoken English, French will be an added advantage. Strong computer competences.
    • A good University degree/Polytechnic higher diploma in operational management, Excellent communication skills.
