    Administration Technical Assistant Nigeria

    Role and responsibilities

    • The purpose of the assistant position is to assist in the day-to-day implementation of the support functions responsibilities.

    Generic Responsibilities (max 10):
    These responsibilities shall be the same for all positions with the same title. The responsibilities shall be short and essential. Details belong in the Work- and Professional Development Plan.

    • Adhere to NRC policies, tools, handbooks and guidelines
    • Assist with the implementation of the support function portfolio according to the plan of action
    • Prepare and develop status reports as required by management
    • Ensure proper filing of documents
    • Promote and share ideas for improvement of the support function

    Specific Responsibilities:
    These responsibilities shall be adapted to the particularities of the job location and context, phase of operation, strategic focus and type of programme intervention. This section shall be revised whenever a new employee is hired or the context changes significantly.

    • Ensure proper and systematic filing of all personnel files
    • Support recruitment process by collecting applications, longlisting, scheduling examination, administering tests, and conducting interviews
    • coordinating appointments and background/reference checks, and communicating benefit information
    • Maintaining a database of field office recruitments
    • induction of new staff, and schedule briefing with relevant departments and assist in email address requests for new staff
    • Preparation of contracts for both casual workers and full-time workers
    • Management of employee records on NRC People at the field level
    • Issuance of stock request to relevant department and updating and sharing the stock report monthly.
    • Ensure that office and guest house supplies are requested for and timely distributed
    • Preparing and circulating the Minutes from the all-staff meetings
    • Supervising of the cleaner/cook
    • Any other task assigned by Line Manager

    Logistics Technical Assistant Nigeria

    Role and responsibilities

    • The position of Logistics Assistant will be based in Mubi. H/She will be responsible for specific tasks related to warehouse management, vehicle and generator management, and assets at the Mubi Office.

    Responsibilities - Fleet:

    • Ensure that vehicles are used and maintained according to Logistics Handbook and other NRC policies
    • Plan, schedule, and monitor transport of staff and material/equipment according to demands and procedures
    • Ensure that all NRC vehicles are in proper operating condition and coordinate vehicle maintenance with the Logistics Officer.
    • Ensure that NRC generators in Mubi are maintained on regular basis.
    • Responsible for the receipt, storage, and dispatch of all stock at the Mubi Office ensuring that proper documentation is maintained for same.
    • Ensure that assets are tagged before being dispatched to the field.
    • To also ensure asset movement is tracked in the Asset Register

    Responsibilities - Warehouse:

    • Ensure that only authorized staff are allowed to enter the warehouse and receive supplies or materials
    • Maintains an up-to-date record of all stocks movements.
    • Receives and inspects the physical condition of consignments and scrutinizes relevant documents.
    • Check supplies and ensures all over/wrongly consigned goods are returned to suppliers.
    • Allocate storage space and maintain orderliness and cleanliness of the warehouse at all times
    • Ensure safety and security of materials
    • Prepare monthly stock reports and assist in carrying out periodic physical inventory checks
    • Immediately report losses, damages, or discrepancies to the Logistics Coordinator
    • Inform Logistics Officer on the expiry date of consumable items stored at the warehouse.
    • Update stock and share it with relevant staff weekly basis
    • Arrange truck and laborers for loading and offloading the materials at the warehouse.

    Specific Responsibilities

    • Ensure all drivers adhere to NRC logistics and drivers procedures
    • Compile and submit monthly fleet and stock reports
    • Ensure the NRC fleet is utilized and optimized accordingly.
    • Prepare requisitions for spare parts for vehicles
    • Coordinate and facilitate timely reporting of eventualities like accidents and breakdowns
    • Secure that NRC vehicles are equipped with necessary documents and equipment
    • Ensure all drivers fill the movement logbook and that logbook is signed by the passengers.
    • Responsible for the receipt, storage, and dispatch of all stock at the Mubi Office ensuring that proper documentation is maintained for same.
    • Ensure that assets are tagged before being dispatched to the field.
    • To also ensure asset movement is tracked in the Asset Register
    • Ensure that all vehicle records and reports including logbooks, accident reports, etc are filled appropriately.
    • Keep a log of the generators and ensure that fuel consumption is monitored and recorded appropriately
    • Conduct warehousing processes with a focus on country and NRC regulations
    • Receive materials and supplies, store them in assigned locations, and distribute according to NRC procedure
    • Maintain records of all incoming and outgoing materials
    • Supervise packing, loading, and unloading of all material.

    Education Officer

    Role and Responsibilities

    • The purpose of the Education Officer is to provide technical support to education program on implementation including planning, implementation, engagement with project stakeholders, distribution of learning materials and monitoring of project activities.

    • Representing NRC in meetings and coordination with education actors in the area, communities and LGA education and government representatives.

    Professional Competencies

    • A minimum of 2 year of experience implementing education projects
    • Technical education expertise in education 
    • Development of reports and work-plans.
    • Experience coordinating with local government and community representatives
    • Fluency in English, both written and spoken
    • Fluency in spoken Hausa
    • Candidates with university degree preferred; significant experience in the field of education, peacebuilding, vocational education or youth programming will be considered in lieu

    Driver

    Role and responsibilitie

    • The Driver is responsible for transporting NRC staff, visitors, documents and goods/materials to designated destinations when officially approved within an area, country or other location.

    Generic Responsibilities (Max 10):

    • Transport NRC staff, visitors, documents and goods / materials to designated destinations when officially approved
    • Ensure the safety and security of the passengers, the goods and the vehicle
    • Immediately report accidents, breakdowns and needs of repair and general maintenance / service
    • Respect the local traffic regulations and the NRC logistical/vehicle policies at all times
    • Maintain the logbook for all trips
    • Maintain the vehicle in proper operating condition at all times, including keeping the vehicle clean, ensuring enough fuel, checking the technical state etc.
    • In liaison with the line manager, arrange for repairs and servicing
    • Ensure the assigned vehicle has all the necessary documents and equipment
    • Provide logistical support during trainings and workshops

    Specific Responsibilities:

    • Transport NRC staff, visitors, documents and goods/materials to designated destinations when officially approved
    • Ensure the safety and security of the passengers, the goods and the vehicle
    • Ensure vehicle is always clean and in proper condition.
    • Drive NRC vehicles to pick or drop employees at their designated duty areas within and sometimes outside Borno State
    • Deliver Important documents to required destinations as directed.
    • Ensure that all deliveries have been signed and delivered to the correct recipient
    • Keep NRC vehicles clean and maintained at all times
    • Perform preventive and regular maintenance on NRC vehicle
    • Convey NRC staffs on assignments in and out of the office to their desired destinations
    • Pick up and drop off NRC staffs and partners from the airport to their destinations
    • Cleaning and maintenance of all NRC vehicles
    • Chart the best route possible in order to save time
    • Update the office on the status of the vehicle particulars for timely registrations and renewals.

    • Experience in handling high profiled vehicles such as Lexus SUVs and double cab pick-up.
    • Ability to make good and quick decision on the wheel.
