The ideal candidate will serve as the operational backbone of the organization, ensuring projects are delivered on time, within scope, within budget, and at the highest standard. This role requires someone who can manage cross-functional collaboration, build scalable systems, improve workflows, and drive accountability across teams.
You must be comfortable working in a fast-paced creative environment, managing multiple priorities simultaneously, and translating strategic direction into actionable execution plans.
Key Responsibilities
Project & Operational Management
- Lead and coordinate project execution across multiple departments and teams.
- Develop and manage project timelines, workflows, budgets, and deliverables.
- Track project progress, identify risks, and implement solutions proactively.
- Ensure projects are delivered on time, within budget, and according to quality standards.
- Build and improve operational systems, SOPs, and reporting structures.
- Streamline workflows across creative production, client servicing, campaigns, and events.
Cross-Functional Coordination
- Work closely with internal stakeholders including creative, production, marketing, strategy, and operations teams.
- Ensure seamless collaboration and communication across departments.
- Manage task allocation, follow-ups, and accountability across teams.
- Facilitate recurring check-ins, progress reviews, and project retrospectives.
Client & Stakeholder Management
- Monitor project delivery and client expectations to ensure high-quality execution.
- Maintain visibility across ongoing projects and communicate status updates effectively.
- Coordinate with vendors, partners, and external stakeholders where necessary.
- Assess vendor relationships and recommend cost-saving or efficiency improvements.
Reporting & Financial Oversight
- Track project budgets, spending, timelines, and team performance metrics.
- Build dashboards and reports to monitor productivity, efficiency, and project health.
- Provide weekly updates and data-driven insights to leadership.
Team Leadership
- Lead and motivate cross-functional teams to achieve project goals.
- Support collaboration, accountability, and performance management.
- Resolve operational bottlenecks and team conflicts efficiently.
Requirements
- Minimum of 4 years’ experience in Project Management, Operations, or Program Coordination.
- Experience working in creative, agency, media, FMCG, production, events, or related industries is preferred.
- Proven experience managing end-to-end project lifecycles across multiple teams.
- Strong proficiency in Microsoft Excel, including formulas, pivot tables, lookups, and reporting.
- Experience using project management tools such as Asana, Trello, ClickUp, Monday.com, or Notion.
- Excellent written and verbal communication skills.
- Strong organizational, problem-solving, and stakeholder management abilities.
- Ability to thrive in a fast-paced, dynamic environment with shifting priorities.
- PMP certification or related project management certification is an added advantage.
- Experience managing creative, campaign, or production teams is a plus.
