As the Director, Business Administration you will be responsible for directing, planning and coordinating BA activities from the Area in order to ensure the integrity of Area processes, internal controls, bookkeeping and cost savings strategies. Consciously establishes a culture that encourages customer focus, individual development, efficiency, collaboration, and creates an environment for process improvements. Upholds and ensures that all Hapag-Lloyd policies and procedures are followed and maintained.
Key Responsibilities:
Manage Accounts Receivables, Payables, General Ledger/Treasury & Controlling,
Administration and HR within the company guidelines.
Budgeting (Budget adjustment) of Overhead Costs and Operational Expenses.
Produce monthly trend analysis and maintenance of costs standards.
Oversee credit policy to minimize the risk of bad debt loss.
Supervision of Area level Business Systems group.
Overall responsibility for processing and controlling all financial and account related matters.
In charge of the contracts for General Services.
Management of Area ITC Support and Facilities functions.
Support the Area Managing Director in the implementation of policies and day-to-day activities.
Provide reports and analyze key data to drive improvements.
Participation in Expert Working Groups.
Negotiation with workers council and/or Unions, if applicable.
Responsible for setting targets and goals for individual departments within Business Administration.
Coach and develop individual department managers and staff. Have regular performance reviews in line with company’s policy and Area Management requirements.
Resolution of high-level concerns.
Ensure that the workload is balanced amongst the various disciplines within each department.
Assist managers with problem solving and provide guidelines regarding departmental and personnel related issues.
Assist local management in selection/hiring of staff.
Create and maintain an open communication channel within Department, Area and Region.
Work closely with other area Directors on process improvement, performance and communication flow.
Establish and maintain a good relationship with both, internal and external, stakeholders.
Ensure compliance of legal/tax aspects of the processes in the area. In addition, GDPR POE for the Area (if applicable).
Ensure compliance of the Hapag-Lloyd internal policies.
Drives changes in the department that enable the fulfillment of Hapag-Lloyd’s quality promises and delivery of superior value to our customers that in turn translates into high levels of customer satisfaction and high NPS results
Accurate Invoicing: 98% of invoices are sent correctly.
Qualifications:
Vast experience in a shipping company or an adjacent industry.
Language requirements: English and French are a must, while Portuguese is a plus
Proven leadership experience having successfully managed large teams. Outstanding communication skills.
Knowledge of legal documents, accounting, finance, tax and legal.
Experience in negotiating and delivering results. Strong analytics and good organizational skills.
