    Accounts / Admin Assistant

    Reports to: Laboratory Coodinator/Site Coordinator

    Essential Duties and Responsibilities

    • Provide administrative and logistics support to the state office,
    • Coordinate Finance aridAdmin and operational work at the state level and ensures compliance to AHF Policies.
    • Supcortboth Bernie and Nasarawa staff and operations
    • Prepares monthly petty cash, and reimbursement reports for AHFfinance departrnentilocalacccuntancyflrm.
    • Review fuel op book and prepare monthly fuel consumption reportforaf sites In Benue.
    • Supervises appropriate utilication of program vehicles’ responsible for scneduting of program vehicles to field activities inihe state.
    • Review invoices and scan to Central oftlceforaporoval,
    • Collate orrginal retirements front all facilities in Benue and Nasarawa and torward sante to the Central Office.
    • Review and update the Central office Admin on all WIP in. tIre states,
    • Preouafify some cooperate vendors in the state.
    • Maintains arid manages meeting caiendar and contact database:
    • Answers incoming phone-calls; oversee office voicemail;
    • Collects and distributes incoming mail! arrange courier services when needed:
    • Oversees office supply inventory; orders as needed;
    • Develops and maintains filing system (mainly digital and also hardcopy when strictly needed);
    • Monitors vendor invoices & accounts payable.
    • Communicate with Central Office Finance on payment of invoices and reimbursement of expense reports;
    • Makes external hard disk backups of all updated files.
    • Coordinates standing and ad-hoc teleconferences and meetings; send reminders, maintains and distributes meeting minutes and action item grids;
    • Writes minutes for each one of the AHF Sense state office meetings;
    • Any other duties as may be assign by the supervisor.

    Education and Experience

    • Bachelor's degree in Accounting, Finance and other related field from a four year college or university;
    • Two years related experience in NGO Finance/Administrative work.
    • Use of MS office (Word, Excel, PowerPoint); MS outlook, working knowledge of MS project preferred
