    Executive Assistant

    Key Responsibilities

    Executive Support

    • Manage the ED’s calendar, appointments, travel plans, and meeting logistics.
    • Screen and prioritize emails, calls, and other communications.
    • Prepare briefing materials, agendas, minutes, and follow-ups for internal/external meetings.
    • Draft high-level correspondence, presentations, and reports as needed.
    • Maintain strict confidentiality and handle sensitive information with discretion.

    Administrative Support

    • Organize and maintain the ED’s filing system and documentation (digital and physical).
    • Track project deadlines, deliverables, and internal commitments to ensure follow-up.
    • Coordinate team meetings, board meetings, and events facilitated by the ED’s office.
    • Manage internal approvals and administrative sign-offs on behalf of the ED.

    Stakeholder Engagement

    • Liaise with key partners, board members, donors, volunteers, and other stakeholders.
    • Coordinate strategic meetings and engagements involving the ED.
    • Support donor and partner communications, documentation, and reporting.

    Strategic and Operational Support

    • Provide research and analysis support to aid executive decision-making.
    • Monitor progress on special projects and organizational priorities.
    • Work collaboratively with departments to ensure alignment on ED’s directives.
    • Represent the ED at internal meetings when delegated.

    Qualifications & Experience

    • Bachelor’s degree in Business Administration, Management, Communications, or related field.
    • Minimum of 3 years’ experience in an executive support role, preferably within the non-profit or development sector.
    • Excellent verbal and written communication skills.
    • Proficient in Microsoft Office Suite, Google Workspace, Zoom, and project management tools.
    • Strong organizational and multitasking abilities.
    • High level of emotional intelligence, discretion, and professionalism.
    • Ability to work under pressure and manage complex schedules.

    Chief of Staff

    Key Responsibilities

     Strategic Support & Execution

    • Serve as the Executive Director’s trusted advisor and thought partner.
    • Support the planning, monitoring, and execution of organizational strategies and special projects.
    • Coordinate and track key deliverables, initiatives, and high-level decisions across departments.
    •  Organizational Management
    • Lead internal strategic planning sessions and monitor progress on goals and OKRs.
    • Ensure the timely preparation of reports, proposals, board documents, and presentations.
    • Facilitate communication and alignment across teams to promote collaboration and accountability.

     Operations & Process Optimization

    • Identify operational bottlenecks and lead efforts to improve internal workflows and productivity.
    • Support the development of SOPs, documentation, and cross-departmental communication processes.
    • Oversee execution of priorities from the Executive Director’s office.

    Stakeholder Engagement

    • Represent the Executive Director in internal and external meetings when required.
    • Manage and follow up on key partnerships, donor relationships, and stakeholder communications.
    • Ensure timely execution and feedback on donor reports, grants, and stakeholder updates.

     Team & Leadership Support

    • Provide guidance and support to department leads on strategic goals, execution, and timelines.
    • Monitor the performance of strategic initiatives and offer timely feedback and direction.
    • Act as a liaison between the Executive Director and senior team members to align priorities.

    Key Requirements

    • Bachelor’s degree in Management, Development Studies, Public Administration, or a related field (Master’s degree is an added advantage).
    • 4–7 years of experience in project management, consulting, operations, or executive support, preferably in a social impact or nonprofit environment.
    • Proven experience in strategic execution, organizational development, and internal coordination.
    • Excellent leadership, planning, and interpersonal communication skills.
    • Exceptional writing and presentation skills with attention to detail.
    • Strong analytical and problem-solving abilities.
    • Highly organized, efficient, and able to manage multiple priorities in a fast-paced environment.
    • Passionate about social impact, education, and systems change in Africa.
