We are seeking an exceptionally organized, proactive, and professional Executive Assistant / Executive Administrator to provide strategic, administrative, and operational support to senior leadership. The ideal candidate will serve as a trusted representative of the Executive, managing key communications, coordinating cross-functional initiatives, preparing high-quality presentations and reports, and ensuring seamless execution of business priorities.
This role requires a highly resourceful professional with strong business acumen, excellent communication skills, and the ability to interact effectively with stakeholders at all levels. The Executive Assistant will often represent the Executive in meetings, follow up on action items, coordinate with multiple departments, and drive operational efficiency across the organization.
KEY RESPONSIBILITIES.
Strategic Coordination
- Serve as a liaison between the Executive and internal departments, external partners, clients, and stakeholders.
- Coordinate and monitor strategic initiatives, ensuring deadlines and deliverables are achieved.
- Track key projects and provide regular status updates to the Executive.
- Assist in the implementation and follow-through of organizational goals and business priorities.
Meeting Representation & Stakeholder Management
- Represent the Executive in meetings when required and provide detailed reports, recommendations, and action plans.
- Attend management and departmental meetings to gather information and ensure alignment with executive directives.
- Follow up with department heads and team leaders on agreed actions and deliverables.
- Build strong working relationships across all departments to facilitate collaboration and effective communication.
Executive Support
- Manage and optimize the Executive's calendar, appointments, meetings, and travel arrangements.
- Prioritize and coordinate competing demands to ensure effective use of the Executive's time.
- Screen, manage, and respond to correspondence, emails, and communications on behalf of the Executive where appropriate.
- Prepare meeting agendas, briefing materials, reports, and executive summaries.
Presentation & Business Documentation
- Develop professional presentations, proposals, business reports, board papers, and executive-level documentation.
- Conduct research and compile data for strategic decision-making.
- Prepare presentations for management meetings, board meetings, investors, clients, and stakeholders.
- Ensure all documents maintain a high standard of accuracy, professionalism, and confidentiality.
Administrative & Office Management
- Manage executive files, records, contracts, and confidential information.
- Coordinate company events, executive meetings, workshops, and conferences.
- Establish and improve administrative systems, processes, and workflows.
- Support budgeting, procurement, and operational administration as required.
Communication & Follow-Up
- Draft professional correspondence, memos, speeches, and internal communications.
- Ensure timely follow-up on executive decisions and directives.
- Maintain effective communication channels between leadership and operational teams.
- Escalate critical issues requiring executive attention.
QUALIFICATIONS/ EXPERIENCE/ KNOWLEDGE
- Bachelor's degree in Accounting, Economics, Business Administration, , or a related field.
- Minimum of 5 years of experience in an Executive Assistant, Executive Administrator, or Senior Administrative role.
- Advanced proficiency in Microsoft Office Suite (PowerPoint, Excel, Word, Outlook).
- Strong stakeholder management and interpersonal skills.
- Ability to represent senior leadership professionally and confidently
- Experience supporting C-suite executives or senior management teams.
- Proven ability to manage multiple priorities
