    Account Manager

    Key Responsibilities

    • Serve as the lead point of contact for all customer account management matters.
    • Build and maintain strong, long-lasting client relationships.

    Pool / Personal Driver

    Duties and responsibilities

    • Convey employees to their approved destinations
    • Ensure the vehicle log is properly completed. 
    • Assist in procurement and other errands. 
    • Maintain records, such as diesel purchase, etc, 
    • Maintain vehicles in good and neat working condition. 
    • Perform emergency repairs, such as changing tires with the approval of the workshop manager and under strict supervision/guidance by a qualified mechanic. 
    • Report delays, accidents, or other traffic and transportation situations to bases or other vehicles. • Report any mechanical problems encountered with vehicles 
    • Undertakes rescue operations 
    • Ability to navigate roads and understand road signs
    • Leverage the journey management plan to arrive at destinations promptly
    • Clean and ensure their vehicles are in good condition
    • Notify the admin manager of the maintenance due date for the pool vehicle and ensure prompt maintenance 
    • Notify the admin manager of the expiry of vehicle’s documents and follow up to ensure prompt renewal
    • Manage and maintain all vehicle accessories to meet the stipulated usage durations.

    Account Officer

    Duties and Responsibilities
    Imprest Management:

    • Preparation of timely Imprest Report
    • Verify that all payment requests are appropriately approved
    • Ensure that all items paid for using the imprest are properly and accurately captured by the Report
    • Keep supporting documents for all expenses paid for with imprest
    • Ensure that the float does not run out before replenishment
    • Ensure that Individual imprest payment/expense does not exceed N20,000.00. Where otherwise, exceptional approval must be sought
    • Reconciliation of the physical cash with the balance show in the imprest Report as anytime requested
    • Ensuring that the company's funds are not used for personal use
    • Post the imprest expenses into Sage Productivity Report
    • Preparation of H1 & H2 Productivity Report
    • Track all waybills, delivery and reconcile with the loading report
    • Ensure that the correct amount of freight is captured by the report
    • Ensuring that all transactions executed for each period are captured in the report • Ensuring that the details of each trip are comprehensively shown in the report
    • Be able to reconcile any discrepancy between what is shown in the Report and the clients' pre invoices
    • Keep an up-till-date Rate schedules for all locations and destinations
    • Ensure the proper recording and custody of all delivery notes/waybills, tickets, etc.
    • Review client’s pre- invoice and ensure the rates matches the standard and avoid over/under payment
    • Review debit notes from clients and confirm the accuracy of the transactions using the waybills
    • Review waybills to identify and capture shortages in the productivity report and assign debits appropriately
    • Send invoices to clients as at when due, follow up and bring to their knowledge the outstanding
    • Review and reconcile AGO usage for each month using approved chart and reconcile

    Fleet Officer

    Duties and Responsibilities
    Operations:

    • Manage the loading and scheduling of loads
    • Follow up with drivers for prompt delivery and return
    • Manage diesel allocation for accuracy
    • Confirm every delivery immediately after offloading to prevent losses and escalate every underdelivery
    • Report all diversion requests and follow up with prompt communication to the driver and clients
    • Escalate all offloading delays for timely offloading
    • OTD/TAT monitoring and management to ensure timely delivery and turnaround of the driver
    • Maintenance delay reporting to clients in the overall improvement of our OTD score
    • Embark on rescue operations where required.
    • Preparation of reports such as daily final offloading point reporting and weekly final offloading point reports, amongst others.
    • Support activities and other tasks as assigned by the team lead
    • Monthly truck accessories reporting with a report to the management, including recommendations for drivers with missing accessories
    • Manage the driver database, and communicate the absence of drivers to the driver admin unit.
    • Submit a well-compiled and up-to-date monthly active drivers’ list to the admin unit.

    Asset Management:

    • Work with new and previous drivers to take inventory of trucks and properly file such records.
    • Supervise drivers during the process for a thorough execution and to ensure the documents are well prepared.
    • Conduct an inventory of accidented or abandoned vehicles at the incident scene, document and report accordingly.
    • Ensure that athe ccessories of trucks under maintenance, accidented or without drivers are duly returned to the store.
    • Any other task as may be required.

    Requirements Educational Qualifications

    • Candidates should possess an HND with a minimum of 2 years of working experience as an Operations Assistant.

    Insurance Officer

    Duties and Responsibilities
    Insurance Claims Management:

    • Follow up for prompt renewal of al insurance policies
    • Ensure active policy document are made available to all required parties in a timely manner
    • Report all incidences to the insurance company for prompt receipt of claims
    • Participate in rescue activities, third party payments and facilitate prompt settlements and release of company vehicles
    • Prepare and submit all documents required for prompt retrieval of claims form the insurance company on time
    • Provide insurance advisory to the management including making recommendations for better and cos efficient insurance organizations to partner with
    • Follow up with insurance brokers to ensure that claims are paid on time
    • Communicate with insurance brokers to obtain information necessary for processing claims.
    • Determine salvage value on total-loss vehicle.
    • Estimate parts and labor to repair damage and practicality of repair as opposed to payment of market value of vehicle before accident.
    • Calculate premiums, refunds, commissions, adjustments, and new reserve requirements, using insurance rate standards.
    • Examine claims investigated by insurance adjusters, further investigating questionable claims to determine whether to authorize payments.
    • Investigate, evaluate and settle claims, applying technical knowledge and human relations skills to effect fair and prompt disposal of cases and to contribute to a reduced loss ratio.
    • Maintain claim files, such as records of settled claims and an inventory of claims requiring detailed analysis.
    • Pay and process claims within designated authority level.
    • Prepare reports to be submitted to company’s data processing department.
    • Present cases and participate in their discussion at claim committee meetings.
    • Report overpayments, underpayments, and other irregularities.
    • Prepare weekly reports for review.

    Requirements Educational Qualifications

    • Bachelor’s degree in accounting, business management or a related field.
    • Experience: 2– 5 years’ proven experience in a procurement or inventory management role
    • Experience in a data analytics position.
    • Experience in a transport/logistics/supply chain organization is an added advantage

    Workshop Admin Officer

    Key Responsibilities

    • Maintain accurate records of all vehicle repairs, servicing, and maintenance schedules.
    • Open and close job cards for all vehicle repairs and ensure proper documentation of work done.
    • Update fleet maintenance tracking systems and workshop logs daily.
    • Coordinate parts requisition, stock issuance, and inventory updates with the storekeeper or parts officer.
    • Schedule preventive maintenance and inspections for vehicles in line with company policy.
    • Track and follow up on outsourced repairs and liaise with external vendors.
    • Ensure timely processing of workshop-related invoices and documentation for payment.
    • Monitor mechanic performance, attendance records, and job assignments under supervision.

    Safety Officer

    Key Responsibilities

    • Develop, implement, and maintain health and safety policies, procedures, and guidelines in line with company standards and legal requirements.
    • Conduct routine inspections and audits of vehicles, terminals, yards, and workshops to ensure safety compliance.
    • Carry out risk assessments and recommend appropriate control measures to eliminate or reduce risks.
    • Investigate all incidents, accidents, and near-misses, document findings, and implement corrective actions.
    • Conduct safety inductions and periodic training for drivers, mechanics, and other staff on road safety, defensive driving, use of PPE, fire safety, and emergency response.
    • Monitor driver behavior and compliance with speed limits, route plans, and rest schedules using tracking systems and safety tools.
    • Ensure compliance with road transport safety standards, especially for heavy-duty vehicles and long-haul operations.
    • Maintain proper records of inspections, trainings, accident reports, and compliance activities.
    • Liaise with government agencies and regulatory bodies (e.g., FRSC, VIO, NSC) on safety-related issues and audits.
    • Advise management on safety improvements, emerging risks, and best practices.
    • Monitor the use and availability of safety equipment such as fire extinguishers, reflective vests, etc.

    Assistant Workshop Manager

    Responsibilities

    • Coordinate the activities of the workshop on a day-to-day basis. 
    • Organize and supervise the servicing, maintenance and repair of the company’s fleet and ensure that the vehicles are always in good working conditions.
    • Ensure prompt planning and implementation of preventive maintenance activities on schedule for all trucks. 
    • Supervise the maintenance and repair of all the trucks and other technical support equipment to ensure that overhauls, preventative maintenance and repair are done in a cost-effective manner, with attention given to quality and longer duration of vehicles.
    • Ensure that the vehicles are maintained in a safe and reliable working condition in accordance with planned preventive maintenance program and to identify and rectify repetitive problems.
    • Ensure that planning, scheduling, and unscheduled repairs are carried out efficiently and cost-effectively, with quality service.
    • Oversees the administrative requirements of the workshop, including warranty obligations, inspection records, manual updates, equipment defect reports, maintenance services, policies, procedures, and practices.
    • Regularly report progress on each job
    • Analyse maintenance costs and provide recommendations on fleet utilization and replacement.
    • Track parts usage and maintain an accurate inventory of parts issued.
    • Assist in the development of maintenance budget by providing input relative to policy, costs and established metrics.
    • Ensure the maintenance records for fleet are accurate and up to date.
    • Investigate and diagnose the causes of vehicle breakdown and accidents and apportion blames accordingly by ensuring that defaulters take financial responsibility of the cost of repairs.
    • Ensure that the workshop is always functional and that vehicles awaiting repairs are attended to with dispatch.
    • Supervise, schedules or assigns work to mechanics and other maintenance personnel.
    • Tests vehicles to troubleshoot problems and/or tests repairs to ensure proper and safe completion.
    • Raise requests for spare parts needed for maintenance activities and ensure that such parts requested are used for the purpose for which they are requested for.
    • Recover to base all broken down vehicles or accidental trucks with dispatch.
    • Ensure thorough pre and post trip inspection, pre and post maintenance inspection and all relevant inspections
    • Ensure that the trucks are thoroughly checked, and bolt and nuts retightened on the arrival of the trucks.
    • Coordinate the activities of mechanics including discipline.
    • Ensure that all the tools and equipment in the workshop are accounted for always, functional and are being prudently used.
    • Ensure adequate training of mechanics and all other workshop personnel on preventative maintenance and on methods for diagnosing and repairing vehicles and parts.
    • Organize training in conjunction with the HR/Fleet unit for all the drivers especially on how to handle minor breakdowns.
    • Prevent pilfering of the company’s tools and materials through thorough monitoring.
    • Provide the procurement unit periodically with the list of parts that are frequently used for replacement to avoid stockouts.
    • Assign vehicles for maintenance to a designated Mechanic(s) and take proper records in case the vehicles fail.
    • Enforce compliance with the approved maintenance timelines through strict supervision to ensure vehicles do not exceed the required time at the workshop.
    • Ensure the mobile maintenance team is always available when called upon; coordinate and assign rescues.
    • Assist in procurement where necessary and advise on quality vehicle parts to be purchased.
    • Advice the fleet team on the duration of each maintenance activity
    • Prepare daily, weekly, monthly and quarterly maintenance reports.
    • Any other duties related to or arising from the performance of what is listed above.
    • Truck Maintenance Report (TMR)
    • Preparation of monthly TMR
    • Ensure that all details of every item used for each Truck, i.e., Item, Quantity, Price and other relevant details, are captured in the Report.
    • Ensure details of Items paid for by cash must be properly captured in the TMR
    • Ensure requisition details, Date, Requester, Quantity and Price for the store items are reflected in the TMR.
    • Ensure the cost incurred in maintaining each and every truck for all reporting periods is captured in the TMR
    • Prepare a monthly injector Repairs report. 
    • Prepare monthly rescue reports
    • Prepare a monthly tyre consumption report
    • Present the quarterly report showing the Driver with the best care culture.

    Requirements

    • Minimum of a Bachelor’s Degree in mechanical engineering from a recognized tertiary institution.
    • Minimum 5years of progressive working experience in a similar position
    • Proven experience working with trucks and semi-literate mechanics.
