Request for Quotations (RFQ) for Farm Mechanization Services at SmallGrowr Limited (SMGR)

Offerors are responsible for ensuring that their offers are received by SmallGrowr in accordance with the instructions, terms, and conditions described in this RFQ.  Failure to adhere with instructions described in this RFQ may lead to disqualification of an offer from consideration.

Questions: 

Questions regarding the technical or administrative requirements of this RFQ may be submitted no later than 5pm local time on May 21, 2025. Questions may be submitted in writing or via phone calls. Questions and requests for clarification—and the responses thereto—that SmallGrowr believes may be of interest to other offerors will be circulated to all RFQ recipients who have indicated an interest in bidding. Only the written answers issued by SmallGrowr will be considered official and carry weight in the RFQ process and subsequent evaluation. Any verbal information received from employees of SmallGrowr or any other entity should not be considered as an official response to any questions regarding this RFQ.

1. Solicitation Number    RFQ: SMGR/SER/NG/KD/2025/MAY/0001
2. Title: Request for Farm Mechanization Services at in Igabi, Kaduna.
3. Period of Performance: 2nd of June to 21st of November, 2025.
4. Offer Validity:  Not less than 60 calendar days after the offer deadline
5. Mode of submission : Bids to be sent by email/ post/ courier or hand delivered.
6. Deadline    Bids must be received no later than 4pm WAT, on May 23, 2025

Offers must include :

1. A detailed description of the proposed equipment(s);
2. The vehicles must have all the required documents;
3. The proposed operator(s) must have a valid license;
4. The offeror must demonstrate a good knowledge of Igabi and the villages of the interior.

Offer Format Instructions: All proposals must be formatted in accordance with the below requirements:

1. English language only.
2. Include the individual/agency/organization name, date, RFQ number (SMGR/SER/NG/KD/2025/MAY/0001), and page numbers as a header or footer throughout the document.
3. The Technical Offer must be in the format provided in Section IV. 

A full offer will include the following documents:

1. An offer checklist (Annex 01).
2. A cover letter on company letterhead, signed by an authorized representative of the offeror (Annex 02).
3. A complete Technical Offer in response to the evaluation criteria in Section VI and in the format provided in Section IV.
4. A copy of the offeror’s business license, or, if an individual, a copy of his/her identification card.
5. Three (03) contacts for references from organizations/individuals for which the offeror has successfully performed similar work.
