    Executive Assistant to the Deputy Managing Director

    Location: Gbagada, Lagos
    Reports to: Managing Director and the Deputy Managing Director

    Brief

    • An independent, self-motivated, highly organized, and detail-oriented professional with experience in providing thorough and skillful administrative support to senior executives. Adept in managing multiple projects to achieve targeted goals, excellent research and writing skills and ability to grow positive relationships with clients and colleagues at all organizational levels.

    Job Scope

    • Effective management of the desks of the MD and Deputy MD
    • Providing strategic business analysis to assist Executive Management
    • Project management and oversight functions
    • Information management to include filing and storage of documents
    • Stakeholder management across all the units of the business
    • Liaison officer between management and external parties.
    • Corporate communication and brand promotion.

    Responsibilities

    • Taking the lead on strategic initiatives important for company culture and success
    • Administrative tasks for the MD and Deputy MD including; managing appointment calendars; completing expense reports; composing and preparing correspondence; Mail management, scanning and filing documents, screening phone calls and visitors, updating Outlook contacts, maintaining executive files, arranging detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
    • Drafting proposals, attending business meetings and providing strategic analysis for business projections
    • Advising on all related management issues and troubleshooting a variety of solutions
    • Providing timely support for senior management in all matters and special assignments by establishing objectives; determining priorities; managing time; ensuring active collaboration of the teams involved; monitoring progress; making adjustments to plans where necessary
    • Representing the executives as required, welcoming visitors, answering questions and meeting requests directed to the executive office
    • Coordinating the agenda of senior management team meetings and all staff meetings
    • Managing address book/ contacts on behalf of the Senior Management; keeping track of periodic communication needed for primary external contacts; ensuring that the contacts are updated promptly and communicated to all stakeholders
    • Effective handling of all issues relating to the Board of Directors and ensuring seamless communication with a high degree of professionalism, accuracy, and confidentiality.
    • Managing the Company Library.

    Education, Knowledge, and Skills

    • Bachelor’s Degree
    • Excellent verbal and superior writing and report presentation skills are essential
    • 3 years relevant experience supporting a C-level fast-paced executive
    • High level of professionalism and demonstrated ability to handle confidential
    • information
    • Excellent business analysis proficiency.
    • High level of Emotional Intelligence
    • Project Management skills
    • Strong organizational skills that reflect the ability to perform and prioritize multiple
    • tasks seamlessly with excellent attention to detail
    • Strong sense of teamwork
    • Can operate independently and remotely
    • Advanced PC skills in Microsoft Office, including Word, PowerPoint, and Excel
    • Proficient with technology including mobile devices.

    Salary
    Attractive (N250,000 monthly).
