The Executive Assistant will serve as the right hand to the Founder, providing high-level administrative, operational, and strategic support. This role requires exceptional organization, discretion, speed, and the ability to anticipate needs. The EA will help the Founder focus on growth, partnerships, fundraising, and impact by managing time, priorities, and execution.
Key Responsibilities
Executive & Administrative Support
- Manage the Founder’s calendar, meetings, travel, and follow-ups
- Draft, edit, and manage emails, proposals, reports, and presentations
- Prepare briefing notes ahead of meetings and track action items
- Act as a gatekeeper for communication and requests
Operations & Project Coordination
- Track key projects, deadlines, and deliverables across teams
- Follow up with internal teams, partners, and vendors to ensure execution
- Support proposal development, donor communications, and reporting
- Maintain organized digital filing systems and documentation
Communication & Stakeholder Management
Branding and Visibility Support
Required Qualifications & Skills
- Bachelor’s degree (any discipline; health, business, or social sciences is a plus)
- 3–5 years’ experience as an Executive Assistant or Operations Officer
- Strong written and verbal communication skills
- Excellent organizational and time management skills
- High level of confidentiality, integrity, and professionalism
- Proficiency in Google Workspace, Microsoft Office, WhatsApp Business, Zoom
- Ability to work independently, think ahead, and manage pressure
Work Schedule
- Core hours: Monday–Friday, 9:00am – 5:00pm
- Flexibility required: Occasional early mornings, evenings, or weekends based on executive needs and events
- Hybrid structure:
- 4 days in-office/field
- 1 days remote
