    Finance Officer

    OVERALL PURPOSE
    The purpose of the position of Finance Officer provide management support to the effective and efficient management of the project accounting, financial and administration regimes  for the states

    MAIN DUTIES, TASKS AND RESPONSIBILITIES

    • Provide financial management support and reviewing monthly cash flow requests at the state level
    • Provide technical assistance to the project team in financial management and reporting
    • Ensure retirement of all resources
    • Assist the project team in producing financial reports 
    • Handling all receipts and payment functions of the project including timely settling of bills (rent, electricity, internet, supplies etc).
    • Undertaking all bank transactions including tracking of expenditure through monthly bank reconciliation
    • Provide logistics support including making payments and settling account relating to central and state based trainings
    • Processing the release and retirement of fund/advances to staff and consultants for field activities.
    • Managing SWODEN’s petty cash in accordance with set guidelines as contained in it’s financial and accounting manual.
    • Perform any other duties as may be assigned.

    KEY OUTPUTS

    • Payments to contractors, suppliers, staff salaries are handled in a timely manner.
    • Payment received including retirement of advances is banked in a timely manner.
    • Transactions are promptly recorded and reports made readily available.
    • Reports of financial transactions are prepared in a timely manner.
    • Monthly bank reconciliation and financial reports produced
    • Transparent handling and management of petty cash.
    • Timely payment and reconciliation of accounts of implemented activities.
    • Updated contact details and information on suppliers of goods and services.
    • Updated documentation and record keeping and filing system and timely retrieval of files for actions and decision making.

    EMPLOYEE SPECIFICATION:

    • A Bachelors Degree/Higher Diploma in Accounting, Economics and Business Administration
    • Three to five year of work experience in the NGO sector
    • Excellent numeric, analytical and communication skills
    • Team participation/playing qualities/experience
    • High level personal integrity and honesty.
    • Computer literacy, including word processing, spreadsheets (MS Excel)

    NATURE AND AMOUNT OF SUPERVISION RECEIVED
     The position requires foresight and maturity and therefore requires minimal supervision, however, guidance and supervision will be provided as appropriate. The job holder is expected to an extent possible work independently and prioritize, schedule and carry out work to meet agreed deadlines and set objectives, and in line with established standards and guidelines.
