    Front Desk Executive

    Job Summary

    • We are looking for a professional Front Desk Executive to oversee all receptionist and secretarial duties at our main entrance desk. You will perform a range of duties including answering phone calls, managing the switchboard, and maintaining the front office budget.
    • Your central goal is to provide our clients with outstanding customer service and support. As the ‘face’ of our company, the successful candidate will be presentable and friendly, with outstanding people skills.

    Responsibilities
    The front desk receptionist job description consists of the following major tasks, duties, and responsibilities:

    • Responsible for receiving visitors by greeting them in person or on the telephone; answering or referring inquiries
    • Maintains employee and department directories as a guide for directing visitors
    • Offers beverages to guests where necessary
    • Schedules meetings and travel for executives, as well as appointments for customers
    • Documents and communicates actions, irregularities, and continuing needs to maintain continuity among work teams
    • Contributes to team effort when required
    • Operates telephone switchboard; answers and transfers calls to appropriate units
    • Takes messages and communicates them to appropriate enquirers
    • Handles outgoing mail; sorts and distributes incoming mail
    • Responsible for placing outgoing calls and conference calls as needed
    • Drafts, reviews, and proofreads office documents
    • Responsible for basic data entry as assigned
    • Maintains and stocks basic office supplies
    • Responsible for operating and maintaining office machines, including printers, copiers, and fax
    • Ensures compliance with company rules and regulations in the reception area.

    Requirements

    • HND / B.Sc in any Administrative degree.
    • A minimum of 3 years of proven experience in a similar role.
    • Superb written and verbal communication skills.
    • Efficient time management skills
    • Excellent organizational and multi-tasking abilities.
    • Exceptional interpersonal skills
    • Strong knowledge of MS Office programs.
    • Good understanding of office administration and basic bookkeeping practices.
    • Work experience as Front Desk Executive or similar role
