Role Overview
The Executive Assistant to the CEO serves as a trusted right-hand, providing comprehensive executive, administrative, project coordination, and personal support to ensure the smooth running of both business and selected personal commitments. The successful candidate will be highly organised, proactive, and resourceful, with excellent judgement, strong communication skills, and the ability to manage multiple priorities in a fast-paced environment.
They will be responsible for managing the CEO's schedule, coordinating correspondence, liaising with internal and external stakeholders, following up on projects and key deliverables, and handling assigned personal matters with professionalism and discretion. The role also requires the ability to coordinate and manage priorities on the CEO's behalf, and a willingness to be flexibly available, including beyond standard working hours when required.
Key Responsibilities
Executive Support
- Manage the CEO's calendar, appointments, meetings, and daily schedules.
- Draft, review, and manage emails and professional correspondence.
- Prepare reports, presentations, briefing notes, and business documents.
- Screen calls and correspondence, ensuring timely follow-up.
- Coordinate travel and itineraries.
- Organise meetings, agendas, minutes, and action points.
- Maintain confidential records and documentation.
Project & Business Coordination
- Coordinate projects assigned by the CEO.
- Track timelines and deliverables.
- Follow up with employees, vendors, and stakeholders.
- Ensure assigned tasks are completed on time.
- Monitor ongoing business activities and provide updates.
- Escalate critical matters requiring the CEO's attention.
Stakeholder Management
- Serve as a key point of contact for selected internal and external stakeholders.
- Represent the CEO professionally in meetings and communications where appropriate.
- Coordinate meetings and engagements with key stakeholders.
Personal & Administrative Support
- Provide comprehensive personal support to the CEO.
- Coordinate personal appointments and schedules.
- Assist with personal errands and day-to-day requests.
- Coordinate with vendors and service providers on personal matters.
- Support the coordination of family-related activities and engagements as required.
- Handle other personal assignments delegated by the CEO.
Business Continuity
- Serve as the primary point of coordination on the CEO’s behalf.
- Monitor ongoing activities and ensure priorities remain on track.
- Follow up with internal and external stakeholders on outstanding matters.
- Exercise sound judgment in resolving routine issues and escalating significant matters appropriately.
- Ensure the smooth day-to-day running of the CEO's business priorities.
Qualifications
- Bachelor's degree in Business Administration, Management, Social Sciences, or related discipline.
- Minimum of 4–6 years' experience as an Executive Assistant, Personal Assistant, or in a similar executive support role.
- Experience supporting C-suite executives, founders, or business owners is highly desirable.
- Experience coordinating projects and managing multiple stakeholders is an added advantage.
