    Chief of Staff to the Executive Director

    • AfriLabs is seeking a Chief of Staff to support the Executive Director with a mix of executive assistance, administrative, and operational responsibilities. This role focuses on ensuring smooth daily operations for the Executive Director, coordinating key initiatives, and managing logistics to support efficient workflow across the executive team and broader organisation.
    • The ideal candidate is detail-oriented, organised, and adept at balancing executive support with operational tasks. As a critical partner to the Executive Director, the Chief of Staff will handle scheduling, logistics, and relationship management, helping to keep AfriLabs on course toward its mission.

    Responsibilities:

    Executive Assistance & Calendar Management:

    • Serve as the gatekeeper, handling inquiries and requests to streamline the Executive Director’s workload.
    • Coordinate the Executive Director's schedule, prioritising meetings and engagements to maximise effectiveness.
    • Arrange logistics for travel, events, and meetings, ensuring all details are managed efficiently.

    Operational Support & Daily Coordination:

    • Oversee day-to-day operations to ensure alignment with AfriLabs’ goals, supporting a productive work environment.
    • Implement streamlined administrative processes and procedures to boost team efficiency.
    • Prepare and manage essential documents, reports, and presentations for meetings and board engagements.

    Communication & Liaison:

    • Act as a primary liaison between the Executive Director, internal teams, and external stakeholders to facilitate smooth communication.
    • Draft and review communications, ensuring timely follow-ups and responses to key inquiries.
    • Assist in managing Board-related logistics, including scheduling, preparation of materials, minute-taking, and follow-up on resolutions.

    Project Management & Special Initiatives:

    • Lead assigned special projects from initiation through completion, coordinating resources and timelines for successful outcomes.
    • Support the development and implementation of strategic initiatives in collaboration with the Executive Director.
    • Conduct research and monitor industry trends to support strategic planning and decision-making.

    Relationship Management:

    • Build and nurture relationships with AfriLabs’ stakeholders, including partners, community organisations, and government representatives.
    • Represent AfriLabs at key events and conferences, supporting external engagement and thought leadership.
    • Handle confidential information with the utmost discretion, maintaining the integrity of sensitive data.

    Qualifications, Skills, and Experience Required:

    • Education: Bachelor’s degree in Business Administration, Management, or a related field; Master’s degree preferred.
    • Experience: Previous experience in executive support or Chief of Staff role, ideally within a non-profit or similar environment.

    Skills:

    • Scheduling & Logistical Coordination: Strong organisational skills, with proven ability to manage complex scheduling and logistical needs.
    • Communication & Interpersonal Abilities: Exceptional verbal and written communication skills, with the ability to build and maintain professional relationships.
    • Integrity & Confidentiality: High level of integrity, with experience in managing sensitive information.
    • Project Management: Proficiency in project planning and execution.
    • Industry Awareness: Knowledge of best practices and trends within the NGO and innovation ecosystem.
