    Program Associate

    Key Responsibilities:

    Program Coordination Support

    • Provide day-to-day administrative and programmatic support to the Program Officers leading the EDR, EO, and AEF portfolios.
    • Assist in transitioning multiple fragmented trackers into a single, consolidated operational dashboard for the region.
    • Track program deliverables, timelines and action items, ensuring timely follow-through on internal and external commitments.
    • Coordinate with CIPE headquarters teams, including Communications, Grants, and Finance, to ensure smooth implementation of programs

    Event and Stakeholder Coordination

    • Assist in organizing workshops, roundtables, and virtual training sessions (such as HPDE digital skills trainings and Ethics 1st compliance practicums), including venue coordination, participant outreach, and run-of-show support.
    • Serve as a point of coordination for local partners and stakeholders, maintaining updated, comprehensive databases of CIPE Africa Hub contacts, consultants, and regional partners.
    • Coordinate regular staff meetings, including facilitating discussions, drafting agendas, taking detailed meeting notes, and tracking action items for staff

    Documentation and Reporting

    • Maintain organized programmatic, financial, and contractual files.
    • Assist in drafting, formatting, and reviewing periodic reports, concept notes, weekly updates, and post-award compliance files.
    • Support data collection and documentation practices to ensure activities map correctly to CIPE’s strategic indicators.
    • Ensure compliance with CIPE and donor documentation requirements

    Financial and Administrative Coordination

    • Track payment requests, expense documentation, and basic budget tracking in coordination with Finance.
    • Maintain procurement and vendor records, and support the reconciliation of activity expenditures.
    • Monitor contractors’ and consultants’ performance to ensure quality control in full

    Qualifications:

    • Bachelor’s degree in Business, Economics, Political Science, Public Policy, International Relations or related field
    • 1-3 years of professional experience in an administrative, program support or coordination role.
    • Professional proficiency in written and spoken English.
    • High attention to detail and accuracy, with strong organizational and time management skills.
    • Strong interpersonal and communication skills.
    • Ability to manage multiple tasks with limited supervision.
    • Proficiency in Microsoft Office including Word, Excel and Outlook.
    • Demonstrated reliability, professionalism, and commitment to integrity and respect.
    • Ability to work in a diverse, collaborative team environment across time zones.
