    Procurement Intern

    Major Responsibilities:

    • Assist in Identifying and Evaluating Potential Suppliers, ensuring they meet our quality and cost standards.
    • Assist with day-to-day Procurement functions and development and preparation to support program implementation.
    • Assist in Implementing Due Diligence for suppliers, this includes conducting reference checks, and supplier visits.
    • Assist in Analyzing the costs of goods and services, comparing prices from suppliers and identifying opportunities for cost saving.
    • Ensure that all purchases of goods and services are done transparently, at the best available price and in compliance with RIA and Donor Procurement Policy and Procedures.
    • Assist with Maintaining vendor data base, ensuring up-to-date information and accurate records and preparation of communication materials. 
    • Support in development of procurement specifications of new items- Request for Quotations when required.
    • Assist in monitoring inventory levels and ensure quality/quantity of deliveries received and ensure all document are properly filed and documented.
    • Provide consistent support to other departments to ensure compliance with policies and procedures.

    This Learning Objective is developed to guide the Intern’s learning progress while ensuring the gain practical experience in key areas of procurement. At the end of the internship period the intern is expected of these outcomes:

    • Comprehensive understanding of the end-to-end Procurement Process, from need identification, vendor selection to payment:
    • Learn how to compare vendor pricing effectively and contribute to cost- saving strategies.
    • Ability to build communication negotiation skills, how to manage and maintain supplier relationship, which is crucial for ensuring long term success in procurement.
    • Understand the importance of detailed record keeping and maintaining comprehensive documentation in procurement.
    • Understand the importance of Compliance in Procurement operation.

    QUALIFICATION

    Education

    • B.SC/B.A or HND in Social sciences or any related course
    • Work Experience: Fresh graduate who is currently serving or has completed NYSC and is residing in Maiduguri.

    Demonstrated Skills and Competencies

    • Good computer skills (Excel and word).
    • Excellent interpersonal, organizational and time management skills
    • language Skills: Fluent written and spoken English.

    HR/Admin Log Intern

    Major Responsibilities:

    HR Functions:                                                                         

    •  Assist with onboarding and orientation of new hires.
    • Support with the recruitment process.
    • Documentation of new hires and file management
    • Support with tracking of leave, time sheet and exit documents.
    • Support with Scanning documents and updating the online staff database.
    • Support with Filing, labelling of all files accordingly of hard copies of staff documents.
    • Support the team to perform files audit and request for outstanding documents required in the staff and HR folders.
    • Process and verify completeness and accuracy of all personnel records and documentation such as employment agreements, amendments, transfers and terminations.
    • Maintain data for employment history, confirmation, promotions, transfers, salaries, and training.

    Administrative Functions

    • From time to time. Support with compilation of Health Insurance and Life Insurance Documents for staff.
    • Sort and eliminate unnecessary documentation.
    • Identify and validate file formats to be archived, format conversion if necessary, renaming and organization.
    • Conduct searches in the archiving system at the request of HR Partner and Project Director (memos, evaluation forms and results, action forms, circulars etc.
    • Provide general administrative support, including managing office supplies and coordinating meetings.
    • Assist in preparing reports, presentations, and correspondence as needed.
    • Help with event planning and coordination for organizational activities.
    • Support in the supervision of volunteers, security and cleaners.
    • Assist with tracking of RIA’s consumption of electricity, water, office consumables and data etc.
    • Assisting with vehicle and generator inspections and making sure regular servicing and repairs (where necessary) is carried out.
    • Assist with ensuring vehicle logbooks are maintained and records of vehicles are updated.
    • Provide general and clerical support to the HR department and other duties that may be assigned.

    • Develop skills in creating job descriptions, sourcing candidates, and participating in the interview process, with a focus on diversity and inclusion.

    • Learn how to identify training needs and assist in the design and delivery of training programs for staff.
    • Gain experience in managing HR databases, maintaining employee records, and generating reports to support decision-making.
    • Build relationships with colleagues and other stakeholders, enhancing teamwork skills and professional networking within the humanitarian sector.
    • Learn essential administrative skills, such as document management, scheduling, and office organization.
    • Learn how to assist in planning and organizing events, workshops, or training sessions
