    Human Resources and Administrative Officer

    Responsibilities

    • Maintain and update physical and digital personnel records like employment forms, guarantors verification forms, employment contracts and PTO requests
    • Update internal databases with new employee information
    • Gather payroll data like bank accounts and working days for admin personnel and prepare drivers payroll. Prepare payroll for location.
    • Prepare reports and presentations on HR-related metrics like total number of hires by department, staff exits and recruitments, employee engagement, etc.
    • Handle all aspects of driver and staff recruitment (advertise open positions, receive and review applications, select qualified candidates, plan interviews, verification, reference check, and prepare offer, where necessary).
    • Coordinate and facilitate employee onboarding.
    • Coordinate the performance management process.
    • Respond to employees’ questions about benefits, company policies, etc. Drive implementation of employee benefits and employee enrolments for HMO, pensions, etc,.
    • Assist with the design, review implementation and administration of HR policies, procedures and tools regarding recruitment, employment relations, performance management, training and development.
    • Assist with data collection and the preparation of various reports (e.g. headcount, leave, turnover). Handle all aspects of punctuality and attendance management, recommending and enforcing sanctions for defaulters.
    • Organize, compile, update company personnel records and documentation
    • Manage and update HR databases with different information such as new hires, terminations, sick leaves, warnings, vacation and days off
    • Draft contracts and agreements as required
    • Help organize and manage new employee orientation, on-boarding, and training programs.

    Requirements

    • Interested candidates should possess a Bachelor's Degree qualification with 3 - 8 years work experience.

    Fleet / Logistics / Transport Officer

    Responsibilities

    • Negotiate and secure loads for assigned trucks to choice locations.
    • Ensure drivers deliver the right quantity of clients’ products to their required location within the given time limit
    • Ensure proper and thorough inventory is taken prior to assignment or retrieval of a truck from a driver.
    • Conduct random asset inspections and monthly accessories inspection as well as submit report on outcomes.
    • Monitor the progress of drivers and serve as their first point of contact should a problem arise
    • Conduct, in conjunction with the tracking unit, proper tracking of drivers in transit to ensure prompt and target time of delivery is achieved
    • Resolve unforeseen problems on trips as they arise ensuring appropriate resolution of these and utilise the learning to plan for future similar scenarios
    • Monitor drivers behaviour while on a journey and caution violating drivers
    • Obtain and maintain all truck licensing, registrations, insurance, emblems and permits.
    • Resolve all on-trip tickets related issues.
    • Ensure waybills and other loading documents are properly filed and submitted on time to the accounts unit.
    • Keep organized records of vehicles, schedules and completed orders.
    • Conduct pre-trip and post-trip inspection of trucks to identify damages, dents, etc and report to the Operations Manager after getting the driver to make a statement on the identified issues.
    • Take prompt inventory of truck daily and at the site of an accident or incident using the checklist and document properly
    • Ensure prompt handling and coordination of rescue operations of company’s vehicles, personnel and goods, whenever the need arises
    • Prepare and send daily location and loading reports at the beginning and end of each day respectively
    • Prepare bi-monthly productivity reports and share with the management
    • Develop and maintain all administrative and financial records relating to location, in conjunction with the finance team
    • Manage issues relating to diversions, delays, backhauling, etc., using the terms as outlined in the company’s SOP
    • Ensure compliance at all times to regulations.
    • This includes internal policies and procedures such as Standard Operating Procedures (SOPs) and external government regulations or clients’ policies / requirements
    • Spearhead rescue activities for trucks during incidences, off-site rescues and truck recovery.
    • This may require personal visits to sites and truck escort activities.
    • Send weekly reports of all activities, expenses, productivity, etc. on or before every Saturday of each week.

    • Candidates should possess a B.Sc Degree with 3 - 8 years experience.

    Tracking / Logistic Trainee

    Responsibilities

    • Monitor and track trucks form source to destination, ascertaining the location of all trucks at all times.
    • Prepare daily loading projections for clients
    • Real time tracking of all truck locations and event monitoring in all fleets using GPS system
    • Continuously monitor aspects of driver behavior, such as speeding, fuel consumption, excessive braking and erratic driving using telematics systems in trucks
    • Flag off all illegal movements of drivers and notify the appropriate authorities promptly to enable them take action.
    • Monitor delays, time spent at customer locations, diversions, and illegal loadings.
    • Track vehicle locations and improve traceability in the event of a vehicle theft
    • Analyze data to identify vehicle patterns and take remedial action to reduce costs
    • Flag off immediately, issues of violations of geo-fences, speed limits, free-wheeling, night driving, over-speeding, near misses, etc. to management
    • Ensure strict compliance with company regulations by drivers
    • Identify on-road exceptions, diversions, etc and take immediate remedial action including coordinating and responding to emergency situations
    • Liaise with drivers, operations personnel and management in matters relating to tracking
    • Monitor truck drivers’ performance by identifying poor trends and driving behavior through real time and weekly system reports and alerts
    • Analyze operational efficiency of each vehicle in terms of idle time, stop time, etc as a way to identify underutilized vehicles on a monthly basis and share report
    • Make a comparison of mapped routes versus the actual route followed on each day and take follow up action to find out the cause of the deviation
    • Maintain a register of alerts or events which have been flagged including who has been contacted and what action has been taken
    • Maintain delivery schedules and track deliveries to ensure targets are met.
    • Monitor delivery locations, time and other relevant details
    • Identify, report immediately and keep records of delivery diversions and frequency.

    Requirements

    • Candidates should possess a Bachelor's Degree qualification with 1 - 3 years work experience.
