    Administrative Support Staff

    About the role

    This role will be based in Biu, Borno State, and Mubi, Adamawa State respectively.

    The role will provide administrative support to the field office and ensure the smooth day-to-day running of the office. The role will ensure proper accountability for office items and stock. The role will liaise with vendors and other service providers to ensure that the items supplied are in line with the required specification. The role will work closely with members of the Operations team and other teams to ensure the effective delivery of the project in Borno South.

    About you

    The role is part of the Operations team and will support the field office operations in the deep field. The role reports to the Administrative & Logistics Office with dotted reporting lines to the field office focal point. You must have a University degree or its equivalent in a related field. You must have a minimum of one year of experience in a similar role.  You must be familiar with the use of Microsoft office packages. You must have good communication skills (oral and written). You must be result–oriented,  have a good work attitude, have excellent interpersonal skills; be willing to learn and take on more responsibilities as may be required. The ability to speak the local language is desirable for this role.

    Warehouse Assistant

    Role Purpose

    • Christian Aid Nigeria started implementing the Humanitarian Response programme in the year 2016 in the North-Eastern part of Nigeria. A major part of the response programme is commodity management and documentation. Under the Small Holder Farmer’s project, Christian Aid is maintaining two warehouses in Biu and Michika respectively.
    • The Warehouse Assistant will support the Small Holder Farmer project implementation by effectively managing, tracking, and documenting commodities stored in the warehouse.

    Key Outcomes

    • Work with the Warehouse team to ensure effective and efficient management of commodities.
    • Timely update of commodity information on the last mile application
    • Accurate accountability for warehouse stock
    • Support the timely delivery of daily, weekly, and monthly reports
    • Effective coordination and communication between the Programmes and the warehouse team.
    • Carry out any other duty as may be assigned

    Role Context

    • The role of the Warehouse Assistant is focused on the continuous implementation of Warehouse strategies and activities to ensure a high level of Compliance with CAID’s Warehouse policies and procedures in the Field location.
    • The Warehouse Assistant will maintain a high level of contextual awareness of his/her operating area and strong coordination with the Program team at the field level.
    • He/ She will promote a strong warehousing culture at the Base office(s) through continuous training and collaborative warehouse procedures with all field-based staff.
    • The Warehouse Assistant will report directly to the Commodity Tracking & Reporting Officer in the operations unit.
    • Under the supervision of the Commodity Tracking & Reporting Officer, the Warehouse Assistant will provide support to the programme by undertaking technical and practical operational tasks to ensure smooth, safe, and efficient operation of activities.

    Tasks & Responsibilities

    • Support the Warehouse unit to update warehouse records.
    • Accurate and timely submission of daily, weekly, and monthly warehouse reporting
    • Receipt and accurate documentation of commodity received and issuedWaybill management
    • Monthly Physical Stock count
    • Hygienic management of the mobile storage unit (MSU)/warehouse
    • Update the Commodity Tracking Officer promptly on any issues requiring management attention
    • Liaise with programmes team and provide warehousing support for distributions
    • Liaise with relevant providers to ensure safe handling and offloading of commodities.
    • Deliver on any other responsibility as may be assigned by the Commodity Tracking Officer

    Relationships:

    • External: The role will be liaising with truck drivers for delivery of commodities, representatives from the donor during routine checks, community members, and other stakeholders during distributions
    • Internal: Liaising with internal stakeholders and colleagues at all levels to achieve role objectives and purpose. Working within the network of the Operations unit family, sharing knowledge and best practice across the organization and with the team in Michika and Biu.

    Person Specification
    Applied Skills / Knowledge and Expertise:
    Essential:

    • A Diploma or Higher Diploma or Degree in Administration or related field from a recognized institution.
    • Familiar with the INGO sector
    • Familiar with Warehouse and commodity management in a similar role
    • Demonstrable numerical skills
    • Good with Microsoft excel and other packages
    • Ability to use commodity reporting software such as Last Mile Application
    • Flexible and willing to work in a remote setting
    • Able to work with minimal supervision
    • Good interpersonal skills and ability to work in a team

    Desirable:

    • The ability to communicate in the local language is desirable.
    • Familiar with the northeast context.

    Driver / Logistics Assistant

    Role Purpose

    • To provide logistics support within Christian Aid’s office in-country. To drive staff, visitors, and goods to required destinations timely and safely including cooperation with officials and checkpoints.
    • To maintain all Christian Aid vehicles, including safety equipment.
    • To ensure regular maintenance of Christian Aid Vehicle and where requires, ensure any complex vehicle repairs are carried out by the appropriate service provider.

    Key Outcomes

    • All staff and visitors are transported to and from their destinations safely and lawfully, within a reasonable comfort as practicable, and on time. This includes the use of seat belts for all passengers. Adherence and familiarity with local, State, and Federal regulatory policies relating to safe driving on all.
    • Vehicles are well maintained and free from filth. Servicing and repairs are carried out by appropriate service providers as at when due.
    • A valid copy of driver’s license appropriate for the vehicle, daily vehicle checklist, logbook, insurance, and other vehicle documentation up to date
    • Positive communication and successful negotiation (in line with Christian Aid’s policies and procedures) with officials and security or police forces, particularly at checkpoints and border crossings.
    • Radio (i.e., CODAN) and other communication devices properly used and maintained were applicable
    • Administrative support for the sub-office i.e. dispatch and collection of mails; purchase of items; the collection of quotations; support in bank transactions etc
    • Carry out any responsibility as may be assigned.

    Relationships

    • External: This role holder will have contact with visitors and partners in-country as well as contact with officials at checkpoints etc.
    • Internal: The role will work closely with the team in Biu field office and other Country program staff.

    Applied Skills / Knowledge and Expertise
    Essential:

    • Educated to at least National Diploma level in a relevant field.
    • Valid driving license and any other documentation required to drive a vehicle in that capacity.
    • At least two years of work experience in a similar role and context.
    • Familiar with the INGO sector
    • Basic knowledge of vehicle maintenance.
    • Basic knowledge of the use of computer applications such as Microsoft Word and Excel
    • Good knowledge of road network in southern Borno, and across Christian Aid focal states.
    • Good communication skills.

    Desirable:

    • Experience working with the humanitarian section around the said environment.
    • The ability to speak the local language is desirable.
