    Executive Secretary to the Business Head

    Position Summary:

    The Executive Secretary will provide comprehensive administrative support to the Business Head of the Asia Pacific region. This role requires a proactive, organised, and detail-oriented professional who can manage multiple tasks, maintain confidentiality, and facilitate effective communication within the team and across departments.

    Key Responsibilities:

    1. Administrative Support:
      • Manage the Business Head’s calendar, scheduling appointments, meetings, and travel arrangements.
      • Prepare and organise documents, reports, and presentations for meetings and conferences.
      • Handle correspondence, including emails, memos, and other communications.
    2. Meeting Coordination:
      • Coordinate logistics for meetings, including venue selection, catering, and technology setup.
      • Take minutes during meetings and follow up on action items and deadlines.
    3. Communication Liaison:
      • Serve as the primary point of contact between the Business Head and internal/external stakeholders.
      • Facilitate effective communication by conveying messages accurately and promptly.
    4. Project Support:
      • Assist in the management of special projects and initiatives, ensuring deadlines are met.
      • Conduct research and compile data as needed to support decision-making.
    5. Confidentiality and Compliance:
      • Maintain confidentiality of sensitive information and ensure compliance with company policies and procedures.
      • Handle confidential files and documentation with discretion.
    6. Office Management:
      • Oversee office supplies and equipment, ensuring everything is maintained and available for use.
      • Assist in creating and implementing efficient office processes.

    7.      Travel:

    • Open to world-wide travel and assist the Business Head in meetings and implementation of desired plans to ensure desired goals.

    Qualifications:

    • Education: Bachelor’s degree in Business Administration / Management, or a related field preferred though the same is not a constraint for the deserving candidate.
    • Experience: Minimum 5 years of experience as an executive secretary or in a similar administrative role, preferably in a multinational company, ready to learn, hungry for success and goal-getter who don’t carry baggages.

     Skills:

    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Excellent organizational and time management skills.
    • Strong written and verbal communication abilities.
    • High attention to detail and accuracy.
    • Ability to work independently and collaboratively in a fast-paced environment.

    Reporting Structure:

    • Reports directly to the Business Head- Asia Pacific.
    • Collaborates with other executive team members and departments as necessary and as directed by the Business Head.
