The Executive Assistant provides high-speed administrative, coordination, and operational support to the Director of Hospitality.
This role ensures seamless execution across multiple hospitality assets, including hotels, restaurants, lounges, and leisure facilities.
It is an execution-driven support function, requiring strong organizational ability, attention to detail, and the capacity to manage parallel priorities in a fast-paced hospitality environment.
This is not a passive administrative role success requires proactive thinking, ownership, and the discipline to follow through on deliverables across teams and locations.
Responsibilities
Manage calendars, meeting schedules, travel plans, and site visit logistics for the Director.
Coordinate preparation and readiness for inspections, operational reviews, audits, and property tours.
Track operational issues and ensure timely resolution by responsible parties.
Attend key meetings and produce structured minutes with clear action items.
Maintain action trackers, assign responsibilities, and monitor deadlines.
Follow up on all outstanding deliverables across hospitality units.
Collate weekly, monthly, and quarterly updates into clean, consolidated management reports.
Organise documents, presentations, photos, videos, and evidence links in Google Drive.
Prepare meeting briefs, summaries, and pre-read reports as required.
Draft professional emails, follow-up messages, and escalation letters on behalf of the Director.
Prioritise and filter incoming requests, ensuring timely attention to high-impact matters.
Serve as the coordination link between hotel managers, operations teams, F&B units, and external partners.
Track team submissions and project timelines, ensuring timely delivery.
Escalate delays or operational gaps promptly and professionally.
Drive execution discipline across all hospitality assets.
