    Patient Relationship Executive / Receptionist

    Job Responsibilities

    • Patient Greeting & Registration: Welcoming patients and updating demographic information.
    • Scheduling:Booking, rescheduling, and cancelling appointments, including coordinating with specialized staff.
    • Telephone Management: Answering high-volume calls, directing calls, and taking messages.
    • Check-in/Check-out: Verifying insurance, obtaining authorizations (e.g., VSP), processing payments, and scheduling follow-up appointments.
    • Medical Records Management: Maintaining Electronic Medical Records (EMR), scanning documents, and preparing patient charts.
    • Optical Support: Matching completed glasses/contacts with paperwork and notifying patients for pick-up.
    • Patient Care: Assisting with patient inquiries, providing information on procedures, and managing patient flow to ensure a quiet, calm environment.
    • Administrative Tasks: Managing faxes, emails, and ensuring the lobby is clean.

    Key Requirements

    • Experience: Previous experience in a medical office or customer service setting is preferred (1-2 years often required).
    • Skills:
      • Proficiency in EMR systems (e.g., Practice Fusion, Accuro) and Microsoft Office Suite.
      • Strong communication and interpersonal skills.
      • Ability to multitask, prioritize, and work in a fast-paced environment.

    Account Officer

    Key Job Responsibilities

    • Referral Partner Management:Maintain and update records of referral doctors, clinics, and health maintenance organizations (HMOs).
    • Commission/Incentive Processing:Calculate, verify, and process payments (commissions or referral fees) to referring practitioners and institutions.
    • Accounts Receivable & Invoicing:Manage invoices for referred patients, ensuring accurate billing and following up on outstanding payments from partners.
    • Database Maintenance:Maintain accurate and up-to-date databases (CRM) of all referral sources, including tracking patient volume from each source.
    • Reconciliation & Reporting:Reconcile referral account transactions with the general ledger and prepare weekly/monthly reports on referral trends and revenue.
    • Stakeholder Liaison:Act as the primary contact for inquiries from referral partners regarding billing, patient status, or payment queries.
    • Support Marketing Activities:Collaborate with the marketing department to track the success of promotional events or campaigns targeted at referring physicians.

    Key Requirements & Qualifications

    • Education: BSc/HND in Accounting, Finance.
    • Experience: 1 – 3 years of experience as an Account Officer, with a preference for experience in a healthcare or hospital setting.
    • Analytical Skills: Strong analytical skills to interpret referral data and manage complex financial records.
    • Software Proficiency: Proficiency in MS Excel (VLOOKUP, Pivot Tables) and accounting software like SAP, Sage 50 (Peachtree), QuickBooks, or hospital information systems (HIS).
    • Interpersonal Skills: Excellent communication skills to build and maintain relationships with external doctors and partners.
    • Attention to Detail: Meticulous approach to recording data to ensure accuracy in invoicing and payments.
    • Proactive Attitude: Ability to work with little supervision in a fast-paced environment.

    Optician

    Responsibilities

    • Interpreting the results of eye examinations, using prescriptions written by Optometrists and Ophthalmologists
    • Advising patients on frame weights, materials, styles and colors
    • Recommending lenses, coatings and frames to suit customers’ needs
    • Measuring customers to determine suitable types and styles of frames
    • Adjusting frames so they fit properly
    • Preparing orders for glasses and contact lenses by checking prescriptions, lens thickness and other specifications
    • Making sure that orders for glasses and contact lenses have been processed accurately.

    Requirements

    • Candidates with at least a Diploma in Dispensing Opticianry.
