    Coordinator, Travels

    The Coordinator, Travels will work with and be supervised by the Senior Coordinator, Protocol. The Coordinator, Travels role includes preparing travel arrangements through travel vendors (flight, car rental, hotels, etc.), including but not limited to, coordinating with the project staff to ensure local arrangements are made and within compliance with both eHA and Country regulations, preparing pre-travel arrangements, purchasing insurance, monitoring ongoing travel and processing expense statements and deliverables after travel is completed 

    What you’ll do

    To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other duties may be assigned.

    • Preparing travel arrangements through travel vendors (flight, car rental, hotels, etc.), including but not limited to, coordinating with the project staff to ensure local arrangements are made and within compliance with both eHA and Country regulations, preparing pre-travel arrangements, purchasing insurance, monitoring ongoing travel and processing expense statements and deliverables after travel is completed.
    • Providing travelers with requirements to their specific travel (i.e. entry requirements, visas etc.)
    • Monitoring news and current events, updating travelers and staff on possible issues as related to specific travels Tracking the entire process from approvals to submission of deliverables
    • Reconciling financial statements according to internal URC policies and procedures
    • Providing weekly and monthly updates to the Finance and HR Manager.
    • Maintain travel database by projects.
    • Assist with the organization and travel arrangements of project meetings and activities.
    • Ensure staff and visitors to eHA have appropriate travel documents, i.e. Passports and Visas.
    • Ensure guest hospitality, facilitate all logistics as needed and communicated properly.
    • Manage booking, purchasing and reconfirmation of travel tickets for international and local travel ensuring cost-effectiveness within preferred specification and safety, maintaining good business relationship with all eHA providers.
    • Assist with work and resident permit application process and fellow up for Expatriate and International staff.
    • Coordinate travel for all eHA staff and visitors. Arrange and plan timely airport pick-up, reception, in-country accommodation and dispatch of official travelers and visitors to eHA.
    • Develop a database of all major partners or agencies with regard to Passports, Visas and Airlines.
    • Network and liaise with diplomatic missions, immigration services, passport office and other relevant agencies to facilitate the provision of protocol services.
    • Facilitate in-country shopping and/or tour trips by visitors as required.
    • Ensure appropriate documents and reports on trips, travel arrangements and/or related activities are submitted to the Administration Manager on timely basis

    Who you are

    • Bachelor’s degree from college or university in Business Administration, Operations Management, Social Sciences, International Development, Economics or relevant area is required.
    • Minimum of 4 years relevant working experience in administrative or travel coordination role.
    • Must have excellent interpersonal and human relations skills.
    • Ability to network with other partners or agencies e.g. Various Embassies, Passport, Immigration offices, Airlines staff etc.
    • Must have a pleasant and courteous disposition.
    • Must have good organizational skills.
    • Must have a good knowledge about eHA organizational culture, activities and practice.
    • Must have a valid Nigerian driver's license and be able to drive
    • There may be occasional need to travel to locations outside Kano metropolis including throughout Northern Nigeria.
    • Excellent communication skills

    Language Ability

    • English is the spoken and written language. Fluency in local Hausa is an advantage.
    • Ability to read, analyze and interpret general business periodicals, professional journals, or government regulations. 
    • Ability to write reports, business correspondence, and procedure manuals. 
    • Ability to effectively present information and respond to questions from groups of managers, employees and the general public.

    Driver

    The Driver will work under the direct supervision of the Senior Coordinator, Fleet, and would be responsible for operating eHealth Africa’s motor vehicles. S/he is responsible for safely and responsibly performing all official travel using official vehicles. Regularly servicing and looking after official vehicles taking account of all available information on road conditions, accessible routes, and locations running official errands, and assisting with other office work.

    What you’ll do  

    To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other duties may be assigned:

    • Transports employees and other individuals as directed, in a safe and responsible manner; this includes shuttle transportation for campaigns, projects, airport, and distribution runs. Greets employees and individuals warmly.  
    • Ensures the vehicle is in a proper and safe condition prior to use. Reports any damages or mechanical malfunctions and provides recommendations for repairs.  
    • Observes traffic rules and regulations and maximum speed limits prescribed.  
    • Keep assigned vehicles clean, free from damage, and in acceptable condition consistently.
    • Reports for work on time and at specified locations. Wears the appropriate outfits and footwear (closed-toe shoes). 
    • Maintains schedules of pick-up and drop-off assignments.  
    • Maintains a professional and friendly approach to management, supervisors, and colleagues.
    • Ensure compliance with company regulations and established internal policies and guidelines
    • Reports all safety, security, and driving incidents to supervisor immediately where possible.
    • Ensures that all relevant notification procedures are followed in the event of absence from work.  
    • Ensures routine check-ups of vehicles and complies with relevant laws and company policies regarding the use of mobile phones, smoking in company vehicles, and/or the use of prohibited equipment whilst on duty.   
    • May frequently travel between company worksites.  
    • Presents a professional demeanor at all times and approaches others in a tactful manner.
    • Reacts well under pressure and treats others with respect and consideration regardless of their status or position. 
    • Accepts responsibility for own actions and follows through on commitments.  
    • Consistently at work and on time and participates in and promotes a positive, supportive, cooperative team environment.  
    • Attends and participates in staff meetings, training classes, and supervision.
    • Performs any other duties assigned by Management.   
    • Adheres to Policies and Procedures.  
    • Adheres to eHealth Africa Code of Conduct as well as ethical standards of the field.

    Who you are

    The requirements listed below are representative of the knowledge, skill, and/or ability required to successfully perform this job.

    • Minimum of Secondary school education and must have an excellent driving record and experience.
    • Should be in possession of a valid driver’s license, demonstrable route planning.
    • Considerable knowledge of Nigerian roads and local laws. 
    • Valid Driver’s License 
    • Two years of job-related experience, preferably NGO. 
    • Must possess excellent communication and interpersonal skills. Ability to work independently and in a team. 
    • Able to communicate by various modes such as verbally in-person, Mobile phone, pager, and direct connect/radio. 
    • Excellent customer service skills, must be flexible and self-motivated.
    • Ability to adapt to changes, results-oriented, and positive-minded in a changing work environment.
    • Excellent analytical, problem-solving skills and an eye for detail.

    Associate, Operations Engineering

    The Associate Operating Engineer will support ongoing creation and development of systems and products for eHealth Africa. Reporting to the Senior Coordinator, Operations Engineering, the Engineer will complete engineering projects by organizing and controlling project elements.  They will assist with the design, development and implementation of key projects to support the organization’s strategic goals.

    The Associate Ops Engineer is responsible for efficient installation and maintenance of facility power equipment and accessories to ensure power availability and functionality across the various sections of the facility. You will be a critical part of a team focused on ensuring our services are ready and stress tested. You should be comfortable taking on new challenges, supporting the definition of potential solutions and implementing designs in a team environment.

    What you’ll do  

    To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other duties may be assigned.

    • Ensures availability of electrical power to eHA facilities throughout the day
    • Confirms power system performance by conducting tests to validate quality of output
    • Carrying out routine maintenance work to minimize/prevent power system failures
    • Providing periodic reports on system performance
    • Promptly identifying issues and escalating to supervisor when additional support is required
    • Monitoring and maintenance of renewable energy equipment and accessories across facilities
    • Monitoring and maintenance of office equipment and electrical accessories across facilities
    • Contributes to the team effort by accomplishing related results as needed
    • Maintains safe and clean working environment by following procedures, rules and regulations
    • Ensures compliance with laws and regulations
    • May sometimes travel between company worksites.
    • Presents a professional demeanor at all times. 
    • Approaches others in a tactful manner.
