    Internal Auditor

    DUTIES & RESPONSIBILITIES

    Internal Auditor serve as independent evaluator, providing objective assurance and advisory services to enhance the effectiveness of governance, risk management, and internal control processes. Play a vital role in promoting transparency, accountability, and integrity throughout the organization, contributing to the achievement of strategic objectives and sustainable business growth.

    • Ensure timely processing of Stock Status reports in ORION to generate working sheet for store audits
    • Implement a high standard of internal customer focus within the team
    • Liaise with other departments in order to establish and maintain effective and relevant import activities and support in relation to the organization\'s sales, purchasing, materials management, production and overall operating functions
    • Regularly assesses Service Level Agreements ( SLAs) for the deliverables of the Team 
    • Ensure the requests  are serviced as per agreed SLAs and complaints/queries are resolved in a timely manner 
    • Assess internal Customer feedback and prepare action plan for improvement 
    • Manage all communication with customers and vendors.
    • Ensure accurate stock distribution across all stores as per plan to avoid stock out situation
    • Co-ordinate the processing of  PI Vs Invoice Vs GRN to maintain response within SLA
    • Ensure adherence to the laid down processes wrt Merchandising standards within each Store
    • Ensure proper distribution of all ‘Import Goods’ by way of 1st push and subsequent ‘Pushes’ to all Shops and inter-shops
    • To co-ordinate with Shop floor staff on proper import stock merchandising as per standards
    • Provide prompt feedback to Supervisor -MIS on stock out situations  to enable Supervisor to act
    • To promptly report back any customer feedback received by themselves or any floor staffs (Positive or Negative)
    • Ensure that the number of allocated reports /audit tasks are completed as per Planned cycle by  Officer-MIS
    • Train and sensitizes the shop floor staff on import related products
    • Review and provide regular feedback on shop floor staff performance against expectations

    SKILL SET/COMPETENCIES

     

    • A bachelor degree in commerce, accounting, finance, or a related field
    • Relevant certifications such as Certified Internal Auditor (CIA) or Certified Fraud Examiner (CFE)
    • Several years of experience in accounting, finance, risk assessment, internal control or auditing
    • Strong analytical, critical thinking, and problem-solving skills
    • Excellent communication, interpersonal, and report writing skills
    • Should be able to maintain good inter-personal relationship with co-employees and others
    • Must be dependable, attentive to details and a good team player 
    • Able to multi-task, prioritize and manage time effectively
    • Good understanding of industry standards, document transmittal requirements. 
    • Ability to liaise well with professionals/regulatory officials
    • Demonstrate ability to handle confidential and sensitive information
    • High level of integrity is a must have

    Internal Security Personnel

    KEY RESPONSIBILITIES

    • Frequently carry out patrol of the store as advised by the store CSO
    • Enforce the adherence to other departmental SOP in the store
    • Ensure critical points related to safety and security of the store – Fire exits, escape routes are not blocked and are clear
    • Ensure any violation of other departmental SOP is reported to the CSO for further action
    • Supervise the activities of all external security guards and external security supervisors at the store.
    • Ensure that all items on the vendor’s LPO are accurately supplied and appropriate records are taken.
    • Ensure all items supplied by vendors are adequately weighed and recorded accurately.
    • Ensure customer invoice/receipts are properly screened at exit point to be sure that quantity on receipt correspond with physical quantity purchased.
    • Ensure customer entry/exit SOP are strictly enforced.
    • Ensure staff entry/exit SOP are strictly enforced.
    • Ensure assets of the company are adequately protected.
    • Ensure all security breach are immediately reported to the store CSO.

    CCTV Operator

    KEY RESPONSIBILITIES

    A CCTV Operator is responsible for monitoring surveillance cameras and ensuring the safety and security of a designated area or facility. 

    • Continuously monitor multiple CCTV cameras and video feeds in real-time.
    • Identify and assess any unauthorized or suspicious activities, intrusions, or safety concerns
    • Maintain situational awareness and respond promptly to potential security breaches
    • Notify appropriate personnel, such as security officers, law enforcement, or emergency services, in case of suspicious or criminal activities.
    • Follow established protocols and procedures for responding to various types of incidents, including emergencies, thefts, or safety hazards.
    • Record and document all observed incidents, activities, and actions taken during the monitoring shift.
    • Maintain accurate and detailed logs, including time, date and descriptions of events.
    • Review previous night footage, report findings immediately to the store CSO and record the same details of incident for reference purposes.
    • Communicate effectively with store CSO, Store Manager, security personnel, supervisors, and other team members using radio, phone, or other communication devices.
    • Provide clear and concise information about ongoing incidents and observations.
    • Ensure the proper functioning of CCTV equipment, including cameras, monitors, recording devices, and software applications.
    • Report any technical issues or malfunctions to the Store CSO and Store Manager and further report to the IT department for timely resolution.
    • Register all technical faults on the CCTV system on the log book.
    • Collaborate with other security personnel and operations departments to enhance overall safety, security measures and response strategies.
    • Adhere to company privacy policies, guidelines, and legal regulations related to surveillance.
    • Handle sensitive and confidential information in a responsible manner.
