    Administrative Officer

    Job Summary

    • The Administrative Officer provides comprehensive administrative and clerical support to ensure the smooth day-to-day operations of the construction company.
    • The role involves coordinating office activities, managing documentation, supporting project teams, and ensuring compliance with company policies and construction industry standards.

    Key Responsibilities
    Administrative & Office Support:

    • Manage daily office operations, correspondence, and filing systems (physical and electronic).
    • Prepare letters, reports, memos, and meeting minutes.
    • Maintain office supplies inventory and coordinate procurement.

    Project & Site Support:

    • Support project managers with documentation, schedules, and site records.
    • Maintain project files including contracts, drawings, permits, and approvals.
    • Track project documentation such as delivery notes, site instructions, and variation requests.

    Records & Documentation:

    • Maintain accurate records of staff attendance, site registers, and asset logs.
    • Ensure proper documentation for compliance, audits, and regulatory requirements.
    • Assist in preparing reports on project progress and administrative activities.

    Coordination & Communication:

    • Liaise with vendors, subcontractors, suppliers, and regulatory bodies.
    • Coordinate meetings, site visits, and logistics for management and project teams.
    • Serve as a point of contact between the head office and construction sites.

    Store Officer

    Job Summary

    • The Store Officer is responsible for the efficient receipt, storage, issuance, and control of construction materials, tools, and equipment.
    • The role ensures accurate inventory records, minimizes material losses, and supports uninterrupted construction site operations through proper stock management and compliance with company procedures.

    Key Responsibilities
    Inventory & Store Management:

    • Receive, inspect, and record all incoming materials, tools, and equipment.
    • Ensure proper storage, labeling, and preservation of materials in the store.
    • Maintain accurate stock records using bin cards, stock registers, or inventory software.
    • Conduct regular stock counts and reconcile physical stock with records.

    Issuance & Control:

    • Issue materials strictly based on approved material requisition notes
    • Monitor stock levels and prepare timely re-order requests to avoid shortages.
    • Track material usage and report variances, damages, or losses.

    Documentation & Reporting:

    • Prepare daily, weekly, and monthly stock reports.
    • Maintain delivery notes, waybills, goods received notes (GRNs), and issue vouchers.
    • Support internal and external audits by providing accurate store records.

    Site Coordination:

    • Liaise with procurement, site engineers, and subcontractors on material requirements.
    • Coordinate material delivery schedules with suppliers and site teams.
    • Ensure timely availability of materials to support construction timelines.

    Safety & Compliance:

    • Ensure compliance with health, safety, and environmental (HSE) standards in the store.
    • Maintain a clean, orderly, and secure store environment.
    • Ensure proper handling and storage of hazardous or sensitive materials.

    Project Accountant

    About the Role

    • We are a reputable construction company (GENTEC) seeking a highly organized and detail-oriented Project Accountant to manage the financial aspects of construction projects from inception to completion.
    • The role requires close collaboration with project managers, Admins, site engineers, procurement, store officers and finance teams to ensure accurate cost control, budgeting, and financial reporting across all projects.

    Key Responsibilities

    • Prepare and manage project budgets, cost plans, and cash flow forecasts
    • Monitor project expenditures and ensure costs remain within approved budgets
    • Track construction costs including materials, labour, subcontractors, and overheads
    • Conduct variance analysis and provide timely financial insights to project managers
    • Prepare monthly project financial reports, cost-to-complete, and profitability analysis
    • Process contractor and supplier invoices, certifications, and payment schedules
    • Manage project accruals, work-in-progress (WIP), and revenue recognition
    • Ensure compliance with accounting standards, company policies, and contract terms
    • Support internal and external audits with project financial documentation
    • Liaise with site teams to validate costs and ensure accurate financial records
