    HRIS Intern

    HRIS Administration & Data Management

    • Maintain and update employee records in the HR Management System (e.g., Workday, HM 7.0).
    • Ensure accurate data entry for new hires, role transitions, and employee exits.
    • Generate reports for payroll, management, and compliance purposes.
    • Support system upgrades, troubleshooting, and user training.

    Documentation Management for Joiners, Movers, and Leavers

    • Ensure systematic filing of physical and digital documentation for new employees, transfers, and exits.
    • Maintain accurate records in compliance with company policies and regulatory requirements.
    • Process and document changes related to promotions, transfers, resignations, and exits.

    Payroll & Staff Communication

    • Prepare staff communications related to job changes, promotions, transfers, resignation acceptances, and car subsidy grants.
    • Prepare employee references and notifications as needed.
    • Process loan application letters and financial documentation.
    • Provide payroll support, ensuring accurate and timely processing of final payments and benefits for exiting employees.
    • Prepare addendums and ensure compliance with payroll deadlines.

    Leaver Management & Transition Support

    • Facilitate employee exit processes, including clearance, final payments, and benefit processing.
    • Ensure proper documentation and processes for employee exits, facilitating clearance procedures, and preparing final documentation.
    • Handle resignation acceptances, car subsidy grants, and employee references.

    Staff Communication & Records Management

    • Manage internal staff communications for job changes, promotions, and transitions.
    • Maintain accurate documentation of disciplinary actions and HR-related matters.
    • Ensure timely distribution and proper documentation of staff vouchers by the 29th of every month.
    • Support payroll processing for exiting employees, ensuring correct and timely preparation of final payments and benefits, including any addendums.

    Safety Officer

    • Conduct inspections: Safety officers regularly inspect the workplace to identify potential hazards. 
    • Train employees: Teach employees about safety protocols and the importance of health and safety
    • Monitor compliance: Ensure that the workplace complies with health and safety regulations. 
    • Investigate accidents: Investigate accidents that occur in the workplace. 
    • Create safety plans: Develop safety plans for the workplace that include company standards and government regulations. 
    • Correct unsafe conditions: Address unsafe conditions or actions in the workplace. 
    • Prepare safety reports: Prepare reports on safety issues.
    • Implementation of site and external requirements: Ensure full compliance to Site standard requirement, ISO 14001 and ISO 45001 requirement.
    • Supporting the development of OHS policies and programs.
    • Conducting risk assessment and enforcing preventative measures.
    • Initiate and organize OHS training of employees and executives.
    • Stop any unsafe acts or processes that seem dangerous or unhealthy.
    • Record and investigate incidents to determine causes and handle worker’s compensation claims.
    • Supporting emergency preparedness and response efforts, including developing evacuation plans and procedures.
    • Collaborating with cross-functional teams to promote safety initiatives and ensure the integration of safety practices into daily operations.
    • Establishing and maintaining effective communication channels with external organisations, such as government bodies, and safety organisations.
    • Monitor contractors compliance to Company permit to work process.
    • Ensure compliance to EHS requirement for project site.
