    Procurement Assistant

    Position Overview 

    The Procurement Assistant supports the procurement team in sourcing, purchasing, and coordinating the supply of goods and services for the company. The role ensures timely procurement of quality materials at the best value, maintains accurate records, and assists with vendor management and compliance with company policies. 

    Key Responsibilities 

    • Assist in the preparation of purchase orders, requisitions, and requests for quotation. 
    • Support vendor sourcing, price comparison, and negotiations to achieve cost savings and quality standards. 
    • Maintain an updated supplier database, including contact details, contracts, and performance records. 
    • Monitor order status and follow up with suppliers to ensure on-time delivery of goods and services. 
    • Coordinate with the warehouse, finance, and user departments to ensure smooth procurement and inventory flow. 
    • Verify supplier invoices, delivery notes, and payment documentation for accuracy. 
    • Ensure compliance with company procurement policies, procedures, and approval limits. 
    • Assist in preparing procurement reports and analysis (e.g., spend reports, supplier performance tracking). 
    • Support in resolving supply issues, shortages, or quality complaints with vendors. 
    • Carry out any other related duties as assigned by the Procurement Manager. 

    Qualifications & Skills 

    • Bachelor’s degree in Procurement, Supply Chain Management, Business Administration, or related field. 
    • Minimum 1–2 years’ experience in procurement, supply chain, or administrative support (internship experience may be considered). 
    • Strong knowledge of procurement processes and basic supply chain principles. 
    • Good negotiation, communication, and interpersonal skills. 
    • Proficiency in MS Office (Excel, Word, Outlook); knowledge of ERP systems is an advantage. 
    • Strong organizational and time-management skills, with attention to detail. 
    • Ability to work under pressure and meet deadlines. 
    • Integrity, confidentiality, and commitment to ethical procurement practices.
