    Procurement and Vendor Management Officer

    About the job

    • The Procurement and Vendor Management Officer is responsible for sourcing goods and services, managing vendor relationships, and ensuring cost-effective, timely, and compliant procurement activities.
    • The role supports organizational operations by negotiating contracts, monitoring vendor performance, and maintaining accurate procurement records while ensuring adherence to company policies and regulatory requirements.

    Key Responsibilities

    • Plan, coordinate, and execute procurement activities in line with approved budgets and procurement policies.
    • Source and evaluate suppliers, obtain quotations, and prepare comparative analyses for management approval.
    • Process purchase requisitions, purchase orders, and ensure timely delivery of goods and services.
    • Ensure all procurement activities comply with internal controls and regulatory standards.
    • Identify, onboard, and maintain relationships with approved vendors and service providers.
    • Negotiate pricing, terms, and service level agreements to achieve best value for the organization.
    • Monitor vendor performance, quality of delivery, and compliance with contractual obligations.
    • Resolve vendor-related issues and manage contract renewals and terminations.
    • Maintain accurate procurement and vendor records, contracts, and supporting documentation.
    • Prepare monthly reports, cost analysis, and vendor performance evaluations for management review.
    • Support audits by providing required procurement and vendor documentation.
    • Work closely with internal departments to understand procurement needs and timelines.
    • Provide guidance on procurement procedures and vendor selection processes.
    • Support management in developing procurement strategies and cost-saving initiatives

    Qualifications

    • Bachelor’s degree in Procurement, Supply Chain Management, Business Administration, Finance or any related field.
    • Minimum of 3–4 years’ experience in procurement, purchasing, or vendor management.
    • Professional certification (e.g., CIPS, CPSM) is an added advantage.
    • Proven experience in procurement, sourcing, or supply chain management.
    • Strong negotiation, vendor management, and analytical skills.
    • Good understanding of procurement best practices and regulatory compliance.
    • Good reporting analysis of monthly activities.
    • Excellent communication, organizational, and decision-making skills.
    • Proficiency in procurement systems and Microsoft Office tools.
