    Front Desk Coordinator

    Main Function    

    The Front Desk Coordinator serves as the face of the spa, managing client bookings, handling inquiries, and ensuring smooth administrative operations.    

    Role Responsibilities     

    • Client Greeting & Check-In: Provide a welcoming experience for all guests, managing the check-in and check-out processes.
    • Appointment Scheduling: Efficiently manage the spa’s calendar, coordinating bookings, confirmations, and cancellations.
    • Payment Processing: Handle billing, payments, and invoicing with accuracy and professionalism.
    • Administrative Support: Manage client records, treatment histories, and ensure data privacy and security.
    • Client Relations: Address client inquiries, resolve issues, and ensure a high level of satisfaction.
    • Retail Sales: Assist clients with product purchases, offering recommendations that complement their treatments.
    • Front Desk Management: Keep the reception area clean, organized, and conducive to a superior luxury medical spa environment.

    Experience/Qualification    

    • Diploma or equivalent; further education in business or hospitality is an advantage.
    • 2+ years of administrative experience, preferably in a spa or healthcare setting.

    Competencies/Skills    

    • Customer Service: Strong interpersonal skills with a client-centric approach.
    • Organization: Capable of managing multiple tasks and appointments with efficiency.
    • Communication: Clear, professional, and courteous communication in person, over the phone, and via email.
    • Technical Skills: Proficient with booking software and point-of-sale systems.
    • Problem-Solving: Ability to manage client issues and scheduling conflicts calmly and effectively.

    Behavioral Qualities/Other Competences    

    • High level of emotional intelligence in difficult circumstances with dedication to sustain performance, particularly when under pressure
    • Proactive identification and elimination of inefficiencies 
    • Strong work ethics and reliability
