    Finance/Admin Officer

    • The Admin/Finance Officer will support the daily financial and administrative operations of the organization/project. This includes handling financial transactions, maintaining accurate financial records, ensuring compliance with organizational and donor policies, and supporting HR and procurement processes.

    Core Functions / Responsibilities:

    • Maintain accurate and up-to-date financial records, including cash books, bank books, and ledgers.
    • Prepare monthly financial reports and bank reconciliations.
    • Process payments, ensuring proper documentation and authorization.
    • Monitor budget expenditure and report any variances.
    • Support the preparation of financial reports for donors and audits.
    • Manage petty cash in line with organizational policies.
    • Ensure timely payment of salaries, allowances, and supplier invoices.
    • Maintain an organized and accessible filing system for financial documents.

    Administrative Responsibilities:

    • Ensure effective office management including supplies, utilities, maintenance, and logistics.
    • Maintain proper records for staff attendance, leave, and personnel files.
    • Support recruitment and onboarding processes.
    • Manage travel logistics and accommodation for staff and visitors.
    • Ensure the proper management of assets and inventory.
    • Maintain and update administrative policies and procedures.
    • Support procurement processes including quotations, LPOs, and vendor management.

    • Excellent oral and written communication skills.
    • Must be able to read, write and speak fluent English. Other:
    • An appointment will be subject to certification that the candidate is medically fit for appointment, confirmation of all documents, and security clearances.
    • The appointment is subject to funding confirmation.

    • A Bachelor’s degree in Accounting, Finance, Business Administration, or related field.
    • Minimum of 2–3 years relevant experience in a similar role, preferably with an NGO or Development Organization.
    • Strong knowledge of accounting principles and financial reporting.
    • Experience with accounting software (e.g., QuickBooks, SAGE, Excel, etc.).
    • Strong organizational, communication, and interpersonal skills.
    • High level of integrity, confidentiality, and attention to detail.
    • Ability to work under pressure and meet deadlines.
