Our client is a leader in the hospitality industry with a passion for quality, honesty and excellence. They are seeking to recruit a Events Manager.
JOB SUMMARY
The Events Manager will be responsible for the planning, sales, coordination, and on-site execution to maximize revenue and ensure seamless guest experiences in alignment with the Hotel’s standards.
He/she will manage conferences, weddings, birthdays, corporate meetings, seminars, exhibitions, product launches, private parties, social functions and other events while ensuring excellent guest experience, operational efficiency and profitability.
The Events Manager is also expected to actively generate new event business and revenue for the hotel.
KEY RESPONSIBILITIES
The Events Manager is expected to deliver the following:
Event Sales & Business Development
- Develop and implement strategies to increase event bookings and revenue.
- Identify and pursue corporate, social and institutional clients.
- Build relationships with companies, government agencies, NGOs, event planners, corporate executives and key decision-makers.
- Conduct hotel and event-space tours for prospective clients.
- Prepare quotations, proposals and event packages.
- Negotiate event contracts within approved hotel policies.
- Maintain an updated database of potential and existing clients.
- Follow up on enquiries and convert qualified leads into confirmed bookings.
- Develop partnerships with event planners, decorators, caterers, entertainment companies and other industry partners.
- Achieve agreed monthly and annual event revenue targets.
Event Planning & Coordination
- Manage events from initial enquiry through completion.
- Meet clients to understand their requirements, expectations and budget.
- Prepare detailed event briefs and function sheets.
- Coordinate venue setup, seating arrangements, decorations, lighting, sound and entertainment.
- Coordinate menus and F&B; requirements with the Food & Beverage Department.
- Ensure meeting rooms, halls and other facilities are properly prepared.
- Develop event timelines and running orders.
- Conduct pre-event meetings with relevant hotel departments.
- Ensure all departments understand their responsibilities before the event.
Event-Day Management
- Be physically present for major events and ensure smooth execution.
- Supervise event setup and breakdown.
- Conduct final venue inspections before guests arrive.
- Coordinate hotel staff, vendors and external contractors.
- Ensure events start and finish according to schedule.
- Handle last-minute client requests professionally.
- Resolve operational problems quickly.
- Monitor service delivery and guest satisfaction.
- Coordinate with Security, Engineering, Housekeeping, F&B; Front Office and Finance.
- Ensure hotel standards and safety procedures are maintained throughout the event.
Financial Management
- Prepare event budgets and quotations.
- Monitor event costs against approved budgets.
- Ensure deposits and outstanding payments are properly followed up.
- Prevent unauthorized discounts and unnecessary expenses.
- Review event profitability.
- Prepare post-event financial reports.
- Work closely with Finance to ensure accurate billing and collection.
Customer Experience
- Maintain excellent client communication throughout the event cycle.
- Ensure VIP clients and important guests receive appropriate attention.
- Handle complaints and service recovery professionally.
- Obtain client feedback after events.
- Develop strategies to improve repeat business and referrals. F. Marketing
- Work with Sales & Marketing to promote the hotel\'s event facilities.
- Develop event packages and seasonal promotions.
- Support social-media campaigns and corporate networking activities.
- Organize open-house events where appropriate.
- Generate corporate leads and promote conference, wedding, meeting and social-event packages.
DEPARTMENTAL COORDINATION
General Manager; Sales & Marketing; Food & Beverage; Banqueting; Front Office; Housekeeping; Finance; Engineering/Maintenance; Security; Procurement; Human Resources.
QUALIFICATIONS
- Minimum: Bachelor\'s degree/HND in Hospitality Management, Hotel Management, Business Administration, Marketing, Event Management or related discipline.
- Minimum 4–6 years\' experience in event management, hospitality, banqueting or hotel operations.
- At least 2 years in a supervisory or management position.
- Experience in a reputable hotel, event centre or hospitality company.
- Strong knowledge of event planning and hotel banquet operations.
- Excellent written and verbal communication skills.
- Strong Microsoft Office/Google Workspace skills.
- Desirable: Professional certification in Event Management or Hospitality Management; sales and marketing experience; hotel PMS/event management system knowledge; corporate conference experience; international hotel-brand experience.
