    Our company is looking to hire an Administration Assistant that will provide administrative support services to our businesses. The Administration Assistant is often a key point of contact for customer service and as such, plays a key role in conveying the professional image of the company. 

    The administrative responsibilities notifying clients of available properties, complying with legal procedures, and include telephone, duties, responding to email inquiries, documentation, reporting, monitoring, and planning appointments and viewing. You’ll also support the team by marketing the company on social media and other designated websites. 

    The ideal candidate should be highly organized, a great communicator who is self-driven and highly detail-oriented. 

    Administrative Assistant Responsibilities 

    • Assist with a range of administrative tasks such as providing front-line services, answering telephone calls, taking messages, responding to routine emails and inquiries 
    • Respond to real estate inquiries in a timely manner to ensure a deal is closed as quickly as possible 
    • Monitor deadlines and provide notices to appropriate parties when necessary 
    • Schedule necessary appointments with all parties, including co-ordination of viewing meetings and open houses, and make corporate travel arrangements 
    • Provide high-level customer service support to existing and new customers, in accordance with prescribed practices and protocols 
    • Preparing correspondence and managing client database 
    • Maintain electronic and paper filing systems 
    • Produce marketing materials for online marketing on social media, etc. to build our brand continuously 
    • Prepare listing materials and post property listings 
    • Maintain open and effective channels of communication with staff, clients, and other stakeholders 
    • Perform other duties as assigned 


    • Higher National Diploma or equivalent required 
    • An equivalent combination of experience in the administrative field or similar field or a background in office administration (preferably) 
    • Proficiency in Microsoft Office 
    • Excellent written and verbal communication skills 
    • Able to work independently and as part of a team 
    • Critical thinking and problem-solving skills 
    • Knowledge of marketing techniques and principles 
    • Strong attention to details 
    • Good organizational skills, with sound attention to detail and accuracy 
    • Previous experience in the real estate industry is an addition 
    • Creativity and commercial awareness
