    Administrative Officer

    Scope and Responsibilities

    Office Administration

    • Manage day-to-day office operations to ensure smooth workflow and efficiency.
    • Monitor and maintain adequate levels of office supplies and consumables.
    • Coordinate office logistics including meeting arrangements, workspace allocation, and general office upkeep.
    • Maintain proper filing systems (physical and electronic) for records and documentation.
    • Support internal communication and dissemination of administrative notices.

    Facility Management

    • Assist with supervising maintenance and functionality of office facilities, including HVAC systems, electricals, plumbing, and general infrastructure.
    • Coordinate preventive and corrective maintenance activities.
    • Ensure workplace health, safety, and environmental standards are maintained.
    • Liaise with facility service providers (cleaning, security, waste management, etc.) to ensure service delivery standards are met.
    • Monitor utility usage (power, water, diesel, etc.) and optimize cost efficiency.

    Vendor & Contract Management

    • Assist in sourcing, onboarding, and managing vendors/service providers.
    • Monitor service level agreements (SLAs) and ensure compliance.
    • Process vendor invoices and maintain accurate records of payments and contracts.

    Compliance & Reporting

    • Ensure compliance with company policies and relevant regulatory requirements.
    • Maintain records related to facility operations, maintenance schedules, and inspections.
    • Provide periodic reports on administrative and facility activities.

    General Responsibilities

    • Support the Administrative Manager in implementing policies and procedures.
    • Assist in managing office support staff where applicable.
    • Participate in administrative projects and continuous improvement initiatives.
    • Perform any other duties as assigned by management.
