    Pharmacy Manager (National Position)

    Work location – Maiduguri (with frequent field visits)

    Reporting to – Medical Coordinator Supervision of – Warehouse Pharmacist and Pharmacy Assistants

    General purpose of the position

    Under the supervision of the Medical Coordinator, the Pharmacy Manager takes responsibility for defining, coordinating and monitoring all pharmacy related activities in the Mission, according to INTERSOS standards and values, with consideration of national and donor’s regulations, in order to ensure the quality and proper organisation of medical supply process, procedures and protocols, the proper management of the medical stock in the projects and, in collaboration with the medical team, the correct use of medicines and medical material.

    Tasks and Main Responsibilities

    • Ensures proper implementation of quality drugs supply system in line with INTERSOS standards, ensuring quality assurance: focal point for
    • Ensures the record of all items received and issued in appropriate electronic or hard management tool/database and reporting on drug consumptions and medical equipment dispensed according to protocols, informing on unusual patterns as well as forecasting future needs, in order to rationalize the budget and to ensure availability.
    • Assists in training of medical team (doctors, nurses, CHEW, Warehouse Pharmacist, Pharmacy Assistants) regarding dispensing of drugs and their side effects.
    • Supports the MedCo in representing and defending INTERSOS interests before the Donors, Ministry of Health and other local authorities or local suppliers for any issue concerning pharmaceutical supply, in order to ensure stock procurement in the projects while complying with the national laws and donor’s regulations and following INTERSOS protocols. Collaborating in budgeting, forecasting and preparing drug and other medical material orders together with Medical and Logistic Coordinators.
    • Supports the Medical Coordinator regarding the follow-up of EPREP planning and maintenance of medical emergency kits.
    • Supports by participating in all drug and medical material supply processes and ensuring its overall efficiency and effectiveness. This involves regular technical visits to project sites to ensure appropriate follow up of activities and management of field pharmacies; collecting and analyzing stock indicators according to physical records and logistic across different project’s sites and together with the PMR and Medical Coordinator taking corrective decisions when necessary and providing technical pharmacy support regarding pharmaceutical information, medication use (protocols and rational drug use), management of side effects, adherence issues etc.
    • Ensures the collection of data for monitoring and surveillance of optimal quantity and quality of medicine use. Supporting activities at service level for effective drug distribution and control, quality prescription (rational drug use), medicines reconciliation, antibiotic stewardship interventions such as restricted use antibiotic review, follow up of pharmaceutical care plans, patient counselling, good dispensing practices and safe medication practices.
    • Monitors the procurement process and taking corrective measures when needed, ensuring regular communication with Medical, Logistics, HR and Finance departments regarding Medical Supply and Pharmacy Management. Supporting the Medical Coordinator in order to ensure local medical purchases are made from approved sources, subject to approval of Section Pharmacist.
    • Being responsible for follow-up of loans/donations and management of expired medications according to INTERSOS procedures (and national legislation in case of expired drugs).
    • Plans and supervises, in close coordination with the HR department, the associated processes (recruitment, training/induction, evaluation, potential detection, development and communication) of the staff under his/her responsibility in order to ensure both the sizing and the amount of knowledge required.
    • Participates in reporting according to INTERSOS guidelines (SitReps, medical statistical reports, etc.) and reporting on drug consumption and medical devices dispensed according to protocols, informing on unusual patterns.
    • Ensures storage, stock management and supply processes, as well as hygiene and security procedures, tools, and protocols, implementing appropriate quality controls and records, in order to ensure good storage conditions (temperatures, humidity and light exposure) and availability of drugs and medical material, according national regulations and in cooperation with the logistics department.
    • Ensures efficient supply to field’s pharmacies according to orders and stocks, and using cold chain when needed. Monitoring and analyzing orders of depending fields pharmacies/end-user units in order to avoid ruptures of stock or having expired drugs
    • Any other related task assigned by the Medical Coordinator

    Position Requirements

    Professional requirements

    • Essential, Bachelor Degree in Pharmacy (BPharm.).
    • Desirable, Medical related studies (Nursing, Public Health, Health Education etc).
    • Essential previous experience of at least 1 year in similar or relevant positions.
    • High level computer literacy, especially excellent MS Excel / Word skills

    Deputy Finance Coordinator - Nigeria

    General context of the project

    According to the Nigeria Humanitarian Response Plan 2022, 8.4 million people are in need of humanitarian assistance in the north-east and north-west of the country, with the majority of them being women and children who are facing significant protection risks. The people in need is likely to increase due to continuation of insecurity in the intervention areas with IDPs fleeing to relatively safer places.

    INTERSOS has been rendering humanitarian responses in Nigeria since 2016, providing life-saving support from the most affected communities such as health and nutrition, covid-19 response and vaccination, protection, food security and livelihoods, shelter, access to clean water and sanitation, camp coordination, and common warehouse management.

    General purpose of the position

    The PFA will provide the leadership and direction to ensure the development of relevant financial information, and timely financial budgeting and planning and financial reporting for senior leadership, donors, and key stakeholders. The PFA will assist the CFC in managing and controlling the organization’s financial processes, making the necessary changes to upgrade and improve process, policies or procedures, and develop the finance team of the mission.

    The PFA will also undertake special tasks at the direction of the CFC in areas of financial systems development.

    Main responsibilities and tasks

    • Cash flow - Consolidate monthly cash needs from financial plans and compile weekly / monthly cash forecasts.
    • Proposal development – act as a focal Finance point during the process of Proposal Development and budgets creation. Cooperate closely with CFC and HOM.
    • Reporting – PFA will ensure the schedule for Donor reporting is respected and all reports are compiled in an accurate and timely manner and submitted to CFC for verification and approval. In terms of internal reporting, PFA will lead and coordinate regular monthly BvFP (budget vs Financial Plan).
    • Audit - preparation for internal and external annual, ad hoc and donor audits closely with CFC and HOM.
    • Grants Management – work closely with Grants Department, ensuring that donor finance guidelines, formats and processes are understood by all affected colleagues at the start of each project and being adhered to throughout the project.
    • To ensure compliance with INTERSOS and donor procedures.
    • To update the economic and financial status of the mission and related-projects, in terms of expenses, appropriations, available cash and liquidity (Prima Nota).
    • To support the CFC in order to perform monthly Bank reconciliations.
    • To set up, organize and manage the administrative files pertaining to the mission and in loco projects, based on criteria defined by the Protocols and any indications from the CFC.

    Required profile and experience

    Education

    • Advanced university degree from a recognized academic institution in one or more of the following areas is preferred: Finance Management, Business Administration, Management, International Economics, International Development, Contract/Commercial Law.
    • First University degree combined with demonstrated professional work experience and understanding of relevant functions may be considered in lieu of advanced university degree, preferably combined with accredited courses or certifications from relevant professional bodies in admin & finance management, procurement.

    Professional Experience

    Minimum of 5 years of relevant work experience at national and international level working as admin-finance Manager​

    PSS/GBV Specialist (National Position)

    Job position- PSS/GBV Specialist Work location – Maiduguri (Nigeria), with sporadic missions to field bases Reporting to – Protection Coordinator Supervision of- PSS and GBV case workers team leaders.

    General purpose of the position

    Under the direct supervision of the Protection Coordinator, the PSS/GBV Specialist oversees the technical side of protection activities related to GBV and psychosocial support, carries out the project’s framework, ensuring compliance and operational quality, in collaboration with the Protection Coordinator and the Programme Manager-Multisector.

    Tasks and Main Responsibilities

    • In close collaboration and under the supervision of the Protection Coordinator (PC), fosters the capacity of INTERSOS in PSS and GBV sector to meet GBV and PSS minimum standards in emergency programs. This includes training and mentoring of INTERSOS staff.
    • Provides technical support, insights for PSS and GBV activities and standards including via tools and methodologies to national and international staff.
    • Guides the implementation of PSS programming with a focus on technical aspects and quality assurance through close monitoring, supervision, and training for national staff.
    • Provides technical support to GBV cases documentation through GBVIMS forms/system.
    • Contributes, under PC guidance, to strengthening INTERSOS Nigeria in the protection sector Coordination In close collaboration and under the supervision of the Protection Coordinator;
    • Ensures 5W matrices are submitted to the State Clusters per the agreed reporting schedule in close collaboration and under the supervision of the Protection Coordinator;
    • Represents the program with national authorities, non-state actors, UN agencies, NGOs, donors in Borno State
    • Ensures adherence to work plans and M&E plans.
    • Contributes to timely submission of relevant reports to the leading agency as per the agreed reporting schedule
    • Contributes to project proposals development for the GBV sector in Borno State, in close coordination with the technical team, protection focal points, under the supervision of the Coordination of INTERSOS Nigeria;
    • Carries out rapid assessments to investigate programming opportunities inside Borno State;
    • Executes managerial duties related to the employment life cycle for national staff under his/her direct supervision (i.e hiring, training, performance management, coaching.

    Position Requirements

    Professional requirements

    • Master’s degree in clinical Psychology, clinical Psychiatry with clinical license to provide psychological counseling or psychotherapy specialized in trauma counseling
    • Minimum 4 years professional experience in psychological counseling, with special emphasis on managing critical incident stress and trauma
    • Prior experience in an INGO is required.

    COVAX Activity Manager (National Position)

    Work location- Maiduguri with frequent visit to field locations

    Reporting to- COVAX Project Manager Supervision of- COVAX Communications officer & LGA Supervisors

    General purpose of the position

    Under the supervision and guidance of the COVAX Project Manager, the COVAX Activity Manager coordinates and supervises the implementation of INTERSOS’s COVAX vaccination activities and ensures the delivery of quality Covid-19 vaccination programme to beneficiaries and their communities. The incumbent disseminates information, provides technical support to management and staff, and performs administrative functions on Covid-19 vaccination related matters.

    Tasks and Main Responsibilities

    • Coordinates and supervises the efficient implementation of the Covid-19 vaccination activities according to National and INTERSOS’s standards operating procedures, and through the correct compilation and analysis of the covid-19 vaccination database.
    • Examines and inspects the efficacy of all administrative procedures related to beneficiary Covid-19 vaccination process (card filling, registers, AEFI, referral) and ensures correct application according to INTERSOS policies.
    • Ensures an efficient vaccine management and monitors the rational use of vaccines to avoid wastage and anticipate future needs
    • Supports the staff (national and expatriate0 in getting vaccinated against Covid-19 at designated points in the state and follow-up on their second doses
    • Provides regular updates on Covid-19 cases in the country and areas of INTERSOS operation advising for new recommendations by the NPHCDA or SPHCDA.
    • Compiles the monthly vaccination data from field locations and draft the monthly covid-19 vaccination report for the Project
    • In close coordination with the HR department and the Project Manager, plans and supervises the associated processes (recruitment, training, evaluation, development and communication) for the COVAX vaccination staff/team.
    • Participates in the development of the plan of action together with PM, Dep MedCo and MedCo.
    • Reports to Project Manager all the covid-19 vaccination activities, and close coordinate before to take any decisive action.
    • Cooperates with the Echo COVAX PM in ensuring a regular and constructive exchange with the NGO operating in the same area, Hospital representative, and MOH representative.
    • Coordinates daily management of team’s work plan under his/her responsibility.
    • Participating in the monthly reports according to guidelines.
    • Any other task as assigned by the Supervisor

    Position Requirements

    • Advanced university degree in Medicine. Desirable specialization in Tropical Medicine or Public Health.
