    Volunteer

    Location: Maiduguri

    Reporting to: Administrative and Finance Officer

    Key relationships MOGEWE Consortium funded by UN Women Contract Duration: 6 month contract with possibility of extension, subject to funding.

    PURPOSE:

    You will play a supportive role in ensuring that financial, operational and HR processes are maintained and developed, thus supporting the sustainability of Back Up and helping the wider team by enabling them to have good information in a timely way and to work in a pleasant and efficient working environment, as outlined and not limited to below.

    Specific duties (depending on experience and time available to the volunteer):

    Operations

    • To support the office with postal services, logging and distributing incoming post and arranging for timely collection.
    • Updating current HR records to ensure that all staff records are up-to-date and correctly maintained.
    • Helping with the upkeep of the office, including maintenance of stationery and preparation of stock orders.
    • Assisting in the responsible disposal of old IT.

    Duties:

    Finance:

    • Processing of expense claims from volunteers and staff – checking these are correctly completed, and made ready for payment processing.
    • Reconciling monthly petty cash income and payments. Reconciling of monthly credit card statements and processing these into Sage.
    • Assisting in keeping financial records and perform financial procedures (e.g., receipts, payments requests, and petty cash). Assisting in the preparation of re-forecasts and management accounts.
    • Assist the organization in management of internal and external audits.
    • Assisting in ensuring that expenses are authorized and processed in accordance with agreed procedures for both LETSAI and donors.
    • Entering supplier or sales invoices and credit notes.
    • Credit control and entering income data into Accounts.
    • Assisting in reconciling weekly bank statements.
    • Assisting in the evaluation of existing and new software. Office Administration:
    • Assisting in developing and maintaining effective office systems (e.g., IT support, office maintenance, fixed assets, supplier contact), ensuring these are consistent with LETSAI’s operating requirements.
    • Assisting in the efficient running of LETSAI’s office daily operations.
    • Assisting in all procurement processes are in compliance with LETSAI and donor regulations.
    • Assisting logistics for LETSAI’s programme activities. Assisting other administration duties as agreed.

    PERSON SPECIFICATION

    • Candidates must fulfil the following essential criteria for some of the volunteering opportunities available. Experience of: Working in a bookkeeping role
    • Accounting or Management Accounts
    • A role requiring attention to detail

    Office administration

    • IT facilitation and Data entry In addition, candidates that demonstrate any of the following desirable criteria will be at an advantage: Experience of:
    • Working in an office environment and supporting others as part of a small team

    Office administration systems

    • Working in an HR or Finance department Working in fundraising Gender sensitive Using databases
    • Microsoft Office (Excel, Word, Powerpoint, Outlook) Hours of work
    • Available to work on a regular basis for at least a full day per month.

    Other:

    • Ability to work well in a team, as well as independently.
    • Ability to communicate well in English, and some ability to communicate in other local languages.

    M&E Volunteer Female only 

    Key Duties and Responsibilities Responsibilities:

    Primary Goal:

    • Support the team in carrying out the end of project evaluation of the LETSAI project. Key Deliverables: All of these deliverables will be achieved by working jointly with the Project Officer and M&E.
    • Review and finalize the End of Project Evaluation work plan in consultation with the Project Officer and M&E.
    • Ensure communications on the final evaluation are drafted and communicated to all stakeholders involved in a timely manner
    • Raise RFQs and LPOs related to printing of required survey tools
    • Liaise with stakeholders to coordinate focus group discussions, GBV assessments and to mobilize beneficiaries.
    • Draft data collection tally sheets and be the point person for data collection and storage during the exercise, seconded to the M&E officer.
    • Ensure routine data entry and analysis of the client interviews, and creation of tables and graphics for the end of project report
    • Assist the M&E officer with training of enumerators in terms of drafting SOWs, recruitment of researchers, logistics, planning and facilitation of sessions at field level

    Any other duties as assigned Preferred Skills and Experience:

    • Experience in carrying out field research (both quantitative surveys, GBV assessments and qualitative research including KIIs and FGDs) particularly for a community GBV program.
    • Extensive experience in reporting, documentation, publication, and visual material preparation in relation to GBV.
    • Strong organizational, interpersonal and communication skills (oral and written)
    • Possess excellent writing, editing, and speaking skills in English
    • Past work or volunteer experience.

    Communication and Social Media Handler (Volunteer)

    Job purpose

    Asissting the program officer with daily media and communications, uploading contents with directives from the program officer and executive director. Hanling the emergency hot lines and reporting to the program officer.

    Duties and responsibilities

    • Develop, implement and manage our social media strategy
    • Define most important social media KPIs
    • Manage and oversee social media content
    • Measure the success of every social media campaigns
    • Stay up to date with latest social media best practices and technologies
    • Use social media marketing tools such as Buffer
    • Attend educational conferences
    • Work with copywriters and designers to ensure content is informative and appealing
    • Collaborate with Marketing, Sales and Product Development teams
    • Monitor SEO and user engagement and suggest content optimization

    Asistant Project Officer (Volunteer)

    Job Purpose
    The Volunteer Project Officer will be responsible for ensuring effective implementation of the project’s activities and task assigned to attain goals and objectives of the MOGEWE project. The Volunteer Project
    Officer will assist the Project Officer to be responsible for overseeing project work-plan performance, participating in project planning, budgeting, and implementation, monitoring, reporting and programme development in project site.
    Expectations:
    Key Duties and Responsibilities

    • With guidance from Project Officer, you will assist in initiating planning for project (Operational Planning, Budgeting)
    • Assisting in participating in developing project proposals and project documentation
    • Assisting in coordinating with the team and partner to conduct capacity building trainings for partners and staffs.
    • Responsible for supporting the programme’s advocacy plan
    • Assisting in establishing monitoring and evaluation systems including indicators (GBV, SGBV, VAWG and GEWE)
    • Actively assist and participate in project events (meetings/workshops/trainings)
    • Undertake other program administration tasks and when necessary

    Communication Management

    • Assisting in preparing and participating in periodical meetings
    • Assisting in providing the Project officer with contacts for database (donors, consultants, networks)
    • Assisting in coordinate with project teams in documentation of projects’ achievements
    • Assisting in Identifying opportunities to collaborate with other organizations and leverage resources

    General Management

    • Report regularly to Project Officer about project management matters
    • Implement project operating procedures together with project officer and team members
    • Ensure compliance with LETSAI and donor policies and procedures
