Job Summary

• M&E Office will be responsible for conducting activities of evaluations and operations research, including design, data collection, management, analysis, data verification and audit exercises to assess the quality of data reported and address any anomalies identified.
• The position will require keeping of M&E database up to date, supporting program staff to prepare periodic high-quality reports, weekly and monthly to update on projects activities conducted in the field.
• Assist program staff during survey planning and implementation especially preparing logistics needed, participating in data collection activity.
• Ensure quality of data through data verification procedures; including routine data quality audits, develop data flow pattern for projects to ensure timely data collection and perform any other M&E tasks assigned by supervisor.

Responsibilities

• Support the capture of program M&E plans to capture project performance and results, including data reporting, assessments, and all monitoring and evaluation activities.
• Support the development of data flow pattern for project that will ensure timely data collection and reporting.
• Ensure high-quality implementation, in close collaboration with the project managers.
• Utilize the data collected to inform strategic decision-making and project planning.
• Support targeted evaluations and operations research, including design, data collection, management, and analysis.
• Ensure quality of data through data verification procedures, including routine data quality audits.
• Support to ensure that relevant data (5Ws) are entered into organization-wide data management system designed to capture, analyze, and disseminate project data.
• Collect and authenticate all information sheets (beneficiary lists, registration forms, distribution lists, and others) for delivery of education and psychosocial support intervention services.
• Assist in routine data collection and entry for various interventions implemented in the field and ensure that complete, accurate, clean, and consistent data is shared with the M&E Officer for data analysis and action planning.
• Ensure proper filing of M&E documents including questionnaires, monitoring reports, datasets among others.
• Participate in regular data verification and audit exercises to assess the quality of data reported and address any anomalies identified.
• Submit to the project manager weekly and monthly updates on M& E activities conducted in the field.
• With support participate capacity building and mentorship activities for field staff in data collection and cleaning.
• Keep the M&E database up to date and help program staff prepare periodic high-quality reports.
• Assist program staff during survey planning and implementation especially preparing logistics needed, participating in data collection and cleaning.
• Foster good relationships and team spirit with program and operations staff in the field.
• Perform any other M&E tasks assigned by his/her supervisor

Requirements

• Bachelor's Degree in Statistics, Computer Science or relevant studies with at least 1 year relevant work experience.
• Knowledgeable in quantitative and qualitative methodologies, research, reporting, data quality assessments, data analysis and presentation.
• Demonstrated strong management, coordination, teamwork, and planning skills.
• Strong understanding of M&E, policy, and compliance requirements.
• Excellent written and verbal communication skills in English including excellent facilitation skills and demonstrated technical writing skills for publication.
• Ability to work in a complex environment with multiple tasks, short deadlines, and intense pressure to perform.
• Strong technical skills, including ability to process and analyze data using one or more statistical software packages.
• Proficiency in Microsoft Office packages (Excel/Word document).

Job Summary

• The Finance Assistant will be responsible for managing the operations of cash processing and record-keeping of the day-to-day transactions in accordance with GRA policy and procedures.
• He/She will be required to ensure compliance of GRA and Donor policies and procedure, process petty cash transactions as per GRA policy and schedule.
• Ensure authenticity of signatures, correctness and completeness of documents, cross-check attendance sheets, verify payments, prepare all payments, assist finance officer in monthly bank & account reconciliation, ensure paid stamping on all invoices and related documents, preparation of tax & deposits, collection & submission of financial documents in the bank, maintain compliance of local laws and standard accounting practice, review budget, review funding allocations, provide training to program staff on finance, produce monthly and quarterly reports, post vouchers, coordinate teams for advance issuance and timely adjustment of advances, training documentation and any other task assigned by the line manager.

Dimension of the Role

• The Finance Assistant is to assist the Finance officer by managing the day-to-day operations of the Finance Department, responsible for Cash processing and record-keeping of the day-to-day transactions in accordance with GRA policy and procedures.

Responsibilities

• To assist the Senior Finance Officer in ensuring that timely and accurate payments are made.
• Ensure accuracy and completeness of payment documents in compliance with GRA and Donor policies and procedure
• Coordinate with teams for advance issuance and their timely adjustment of advances & Training documentation.
• Ensure completeness of supporting documents in all respect which includes authenticity of signatures, cross-checking attendance sheets, and verifying payments to be made
• Posting all vouchers into the transaction spreadsheet on daily basis for review by the Finance Officer. Ensure that all information in the spreadsheet is correct and complete.
• Processing of petty cash transactions on daily basis. Ensure petty cash is replenished on time to meet daily cash needs. Carry out cash count as per the GRA policy and schedule. Document the cash count sheets for records.
• Prepare all payments and make sure that they are properly coded and supported with relevant necessary documents.
• Assist Finance office in monthly bank & account reconciliation.
• Ensure all the financial documents are properly filed & tagged.
• Paid stamping of all the invoices and related documents before filing.
• Ensure timely preparation of tax & deposit into the bank.
• Visit Bank for necessary collection & submission of financial documents.
• Photocopies & scanning of all necessary documents/Instruments.
• Perform any other task assigned by the line manager.
• Finance/Budgeting
• Act always in accordance with local law and standards of accounting practice.
• Review budget with the aim of gaining a clear understanding of budget guidelines and instructions
• Review funding allocations to enable proper guidance to programs and proper coding.
• Provide training to program staff on finance issues.
• Produce monthly and quarterly reports to be reviewed by your supervisor.

Technical Expertise, Skills and Knowledge
Education:

• HND or a Bachelor’s Degree in Accounting from a recognized College / Institutions
• 1 - 2 years work experience.

Job Summary

• The Administrative Assistant is responsible for providing administrative, operational, and logistical support to GRA’s regional office and coordinating administrative efforts for field technical activities including general office administration, human resources, legal and statutory compliance, health and safety, procurement and staff capacity building in line with GRA policies and procedures.
• This position is primarily responsible for ensuring that office administrative operations are functioning efficiently and effectively and are aligned to support attainment of GRA’s goals.
• The incumbent will ensure administrative and HR supports are conducted according to GRA’s policy, standard operating procedures, and good business practices, and that tasks are completed with a high level of quality and integrity.

Accountabilities

• Provide day-to-day support to staff in general office operations and identify future needs
• Ensure timely welcome services, hotel and flights bookings and other support services for staff and visitors
• Coordinate and management movement register for all staff and visitors
• Effective management of the office operations
• Prepare and file documents for signature and/or action, as necessary and ensure that that proper filing systems are in place for the office
• Coordinates the planning and organization of meetings and workshops
• Arrange for the repair and maintenance of office equipment and machinery to ensure that staff works effectively without any disruptions.
• Establish and maintain a well-functioning logistics support operation for the office –effective coordination and use of vehicles
• Coordinate logistics and procurement operations – Selection of vendors/suppliers and sending RFQs
• Prepares and Maintain records of all outstanding purchase orders with external vendors and arranges transportation and forwarding services for all orders to ensure delivery on schedule

Technical Expertise, Skills and Knowledge
Essential:

• A B.Sc / HND / ND in Business / Public Administration or related field.
• 1 - 2 years work experience.
• Experience working in administration and logistics generalist role is added vantage
• Fluency in English with excellent writing and speaking skills is required.
• Demonstrable experience in office management and staff coordination.
• Excellent writing and speaking in English language
• Knowledge and understanding of Nigeria’s policy environment
• Highly developed interpersonal and communication skills including good listening skills, influencing, negotiation and coaching
• Experience with Microsoft Word, Excel, Power Point and Outlook.
