    Strategic Information Associate

    Job Description

    • S/He will assist in the implementation of Strategic Information activities in the state to ensure program targets are met
    • S/he will support and assist in the timely data collection and reporting on the various reporting platforms for the project
    • S/he will support CSO M&E team to provide weekly, monthly and quarterly verifiable quality data
    • Will undertake frequent supportive visits to CSOs; prepare sites and document visits reports
    • Ensure the availability of tools for use at the CSO offices
    • Participate in monitoring, supervision and mentoring of sub-recipient M&E Staff
    • Perform other duties as assigned by the State M&E Specialist

    Minimum Requirements

    • HND / Bachelor's Degree or its equivalent in Health-related discipline or the Social Sciences
    • Minimum of 1 year working experience in relevant field
    • Experience in OVC or HIV/AIDS programming is an added advantage
    • Ability to work with minimal supervision and pay attention to detail.
    • Report writing and oral communication skills
    • Must be proficient in the use of Microsoft Office package applications
    • Flexibility and willingness to work extra hours to meet tight schedules

    Strategic Information Assistant

    Job Description

    • S/He assist in project data collection in accordance with the ICHSSA 4 monitoring and evaluation plan
    • Support the CSOs to ensure project database is constantly updated
    • S/He assist in the training of CSO M&E Officers /data Entry Clerks on the NOMIS database and data tools
    • Assist the M&E Officer in making entries of the project data into the data.fi and DATIM platforms
    • Undertake supervisory visits to CSOs at regular intervals
    • Assist in ensuring data quality by supporting Data Quality Processes for the project data
    • Support CSOs data analysis and use
    • S/He assist in data review and validation at the CSO level
    • S/He assist in strengthening the capacity of sub-recipients Staff in line with project monitoring and Evaluation plan
    • Ensure data collection tools are available at the CSO to ensure smooth implementation on the project.
    • Conduct any other duties in relation with the position as may be assigned by the M&E Officer.

    Minimum Requirements

    • HND / Bachelor's Degree or its equivalent in Health-related discipline or the Social Sciences with 1-2 years post - qualification experience in a non-governmental organization.
    • Experience in OVC or HIV/AIDS programming
    • Experience in using the DHIS2
    • Ability to use the National OVC Management Information System
    • Good communication and report writing skills
    • Ability to work with minimal supervision and flexibility to achieve results
    • Proficient in the use of Microsoft excel, words and PowerPoint packages.

    Finance Associate

    Job Description

    • The Finance Associate will be responsible for bookkeeping, disbursement, recording, requesting for replenishment of petty cash.
    • He or She is responsible for financial transactions of assigned project.
    • He or she will ensure timely banking, payments, contracts, and payroll transactions of the project.
    • He or She will assist in ensuring that Ledger accounts are properly maintained and reported in line with donor requirements and timelines.
    • He or She will participate in the preparation of monthly, quarterly, semi-annual, and annual financial reports for donor agencies and PHI.
    • Make daily postings to ensure income and expenditures are given proper treatment in the project financial system. Ensure that expenditures are within budgetary allocation and also reports variation
    • Ensure efficient use of project resources and compliance with organizational, Nigerian and various donor financial regulations and procedures, In addition, he or she will:
    • Assists in the preparation of monthly reports for program financial activities in the field, Reports to Senior Accountant on the financial performance of the project on periodic basis.
    • Participates in monthly bank reconciliation for the program accounts.
    • Any other duty as may be assigned by the supervisor.

    Required Qualifications

    • First Degree / HND in Accounting related courses.
    • Minimum of 1 year work experience with a USG funded project and other donor agencies outside & within Nigeria
    • Knowledge of Microsoft word, excel & PowerPoint
    • Good knowledge of tally accounting software.

    Skills:

    • Excellent organizational skills and demonstrated ability to manage details
    • Demonstrated ability to multi-task and prioritize to meet deadlines
    • Strong verbal and written communication skills

    IT Associate

    Primary Responsibilities

    • The role of the IT Officer is to lead the ICT Department in the maintenance of the Information and Communications systems within the state.
    • The IT associate will also provide support to the general office. The IT associate has a dynamic role, which requires the ability to multitask and troubleshoot.

    Specific Responsibilities

    • Provide and support network administration.
    • Liaison between the organization and the network service provider.Maintenance and troubleshooting hardware and software problems observed by staff.
    • Ensure Internet services are always running with minimal downtime.
    • Perform periodic system and data backup to ensure that in the event of a serious incident, all data created, modified or stored after the last back up will not be lost.
    • Be able to provide basic training and help desk functions to the employees on the use of various application software programs.
    • Document resolutions to problems and maintain repair logs.
    • Perform regular cleaning of the hardware equipment.
    • Prompt response to problems reported by employees.
    • Install/de-install hardware equipment and installation and configuration of computer/laptop peripherals.

    Qualifications

    • B.Sc in Computer Science / ICT or any other related equivalent.
    • Minimum of 1 year relevant experience
    • Practical Knowledge/Training in CCNA, MS Server 2012, MS Exchange 2013, SQL Server etc will be an added advantage.
    • Experience working with NGOs and or INGO’s is necessary.

    Front Desk Associate

    Primary Responsibilities

    • The role of the front desk assistant is to provide support to the Admin department and the entire office.

    Specific Responsibilities

    • Responsible for covering the front desk and ensuring that staff and visitors sign the registers
    • Serve as the primary custodian of office supplies and consumables. Distributes these based on written request.
    • Maintain proper and accurate records/inventory of office supplies, distribution and usage.
    • Procurement of small items as directed, adhering to PHI purchasing and procurement guidelines at all times.
    • Ensure that the front desk is not left unattended and well administered.
    • Photocopying and other Admin tasks as directed.
    • Ensures good record keeping and filing.
    • Organizing conference room scheduling, equipment, and cleaning
    • Directs visitors appropriately
    • Perform other duties as assigned from time to time by the supervisor.

    Qualifications / Skills

    • University Degree in Mass Communication or recognized equivalent
    • Minimum of 1 year relevant experience
    • Familiarity with administrative and secretarial skills is an advantage
    • Familiarity with international NGOs is an advantage
    • Good Communication skills.

    Program Associate

    Job Responsibility

    • Work with the project team to plan the implementation of OVC activities using collaborative quality improvement approach.
    • Ensure proper financial management, reporting and administration of the project by the CSOs.
    • Monitor and regularly review with partner organizations the services provided to VC and their caregivers.
    • Reinforce the importance of the MEAL Policies and Procedures to all CSO partners and volunteers by giving up to date happenings to the host communities.
    • Ensure compliance with all MEAL requirements by all CSO implementing ICHSSA 4 project
    • Support setting up of meetings, organization of the venues and documentation of meeting reports
    • Familiarity with USAID regulations is desired. Perform administrative functions (maintain filling system, scheduling of meetings/venues) as needed
    • Supports the sub- granting process with the CSOs
    • Supports the program team with all assigned tasks

    Qualifications / Skills

    • A Bachelor's Degree in Social Sciences or health related field is required
    • Minimum of one (1) year of work experience on an OVC program in Nigeria is required
    • Ability to use all micro soft packages including excel and PowerPoint
    • Good technical knowledge and skills in OVC programming is required
    • Candidate should have strong interpersonal skill
    • Fluency in written and spoken English.
    • Ability to work in a culturally sensitive environment
    • Demonstrated willingness to work in a team.
    • Demonstrated initiative and problem-solving skills.
