    Front Desk Officer

    Role Responsibilities

    • To greet patients warmly when they arrive at the medical office, clinic or hospital.
    • Skillfully manages all but the most challenging customer situations and knows when to ask for additional support from supervisor.
    • Makes and receives telephone calls on behalf of the hospital, respond to and send faxes.
    • To gather information from patients upon patients' arrival completing data forms appropriately and accurately registers a patient with the right information. Check patient’s record to ensure name tallies with Hospital number, Verifies Patient by asking for his/her Hospital Number and name.
    • Responsible for all incoming and outgoing mails on behalf of the hospital.
    • Quickly addresses problems even with the most demanding customers and also Proactively inform customers of pending delays.
    • Keeps patient appointments on schedule by notifying provider of patient's arrival; reviewing service delivery compared to schedule; reminding provider of service delays.
    • Comforts patients by anticipating patients' anxieties; answering patients' questions; maintaining the reception area.
    • Ensures availability of treatment information by filing and retrieving patient records where records officer is not on duty.
    • Give daily and weekly report to head of unit on customer feedback and daily job schedule.
    • Confirm patient eligibility the insurance company they are registered with.
    • Gets approval and authorization codes for HMO patients before any treatment is carried out.
    • Follow all regulations and guidelines set in the agreement between the health insurance companies and the hospital Management.

    Requirements

    • Applicants must possess minimum of a first Degree in any discipline from a reputable university.
    • Minimum of 2years post NYSC experience in a similar role. Being in a hospital setting will be an additional advantage.
    • Familiar with any Electronic Medical software.

    HR & Admin Manager

    Job Responsibilities

    • Under the direction of the board directors, the HR Manager provides guidance and solutions on human resources operational issues.
    • In addition, the HR Manager partners with management to facilitate the delivery of HR services.
    • This individual ensures the organization's current HR requirements are met and the HR strategy is implemented effectively.
    • You will also serves as contact for employees and answer questions regarding HR policies and procedures.
    • Recruit, identify, evaluate, interview and onboard new hires for open positions. Maintain and develop candidate pool for all positions for succession planning.
    • Oversee the provision of proper, timely and comprehensive staff induction, clearly defined job description and make sure staff are fully aware of their work.
    • Recommend policies, practices and programs to meet management and employee needs.
    • Assist in the creation and implementation of supervisory development programs.
    • Develop and initiate process improvements as it relates to HR procedures.
    • Maintain knowledge of HR policies and procedures, as well as state and federal labor laws.
    • Processes documents and forms necessary for the implementation of various Human Resources policies.
    • Maintains all necessary records and files to support review and audit.
    • Assist in the management and administration of company benefit programs.
    • Regularly review and identify opportunities for improvement of HR policies and programs to resolve problems and create positive employee satisfaction.
    • Support the Medical Director and line managers through the development and implementation of best practice in all aspects of human resource management.
    • In conjunction with heads of department and line managers, develop and implement effective methods for monitoring and managing absenteeism levels and ensure that internal and external reporting requirements are met.
    • Monitoring annual and sick leave ensuring that policies, procedures and guideline are being adhered to. Report on lengthy periods of sick leave and arrange for independent medical examinations if necessary.
    • Coordinate and control all employee related issues for the hospital.
    • Ensure that staff grievance and disciplinary matters are dealt with in accordance with the hospital’s personnel’s policies and guidelines
    • In consultation with all staff, ensure that populated rosters are in place which meet appropriate  staffing requirements and are compliant with regulations.
    • Maintain personnel records for all staff in the hospital, as required and ensure the confidentiality of such records.
    • Reviews the training and professional development needs of staff in line with service requirements to support the delivery of high-quality service to all patients.
    • Ensures the performance of each staff is measured and evaluated quarterly, collated annually for salary reviews, promotions and demotions.
    • Evaluate annual performance with supervisors and quality assurance manager to implement plans of correction or training needs.
    • Responsible for facility maintenance which include housekeeping and general upkeep of the facility.
    • Represent the hospital in meetings with external agencies/bodies and develop effective relationships with colleagues in other hospitals and agencies as appropriate.
    • Prepares and approves monthly timesheets for payroll (includes overtime, absenteeism, lateness etc.)

    Requirements:

    • Degree in Human Resources Management or Business Administration from a reputable institution.
    • At least 5 years of post NYSC proven experience in Human Resources Management.
    • Certification in Human Resources Management will be an added advantage.
    • Strong interpersonal skills with the ability to demonstrate skills in leading a multi- disciplined team through a period of change.
    • Leadership skills, including the ability to supervise and motivate qualified professional staff with strong personal value systems.
    • Analytical, decision making and strategic planning skills and the ability to handle multiple priorities.
    •  Ability to coach, mentor, delegate appropriately and provide developmental guidance to supervised staff.
    • Team building skills.
