    Business Development Officer

    Responsibilities:

    Tender & Bid Support:

    • Monitor NIPEX, NJQS, and client procurement portals daily for new tenders and opportunities
    • Maintain a tender calendar and alert the BD Lead to upcoming bid deadlines
    • Assist in compiling, formatting, and submitting tender documents and proposals
    • Maintain a library of bid templates and supporting documents
    • Track bid submission outcomes and update the win/loss register

    Pipeline & CRM Management

    • Maintain and update the commercial pipeline tracker on a weekly basis
    • Generate weekly and monthly pipeline summary reports for the BD Lead
    • Flag stalled opportunities and overdue follow-up actions

    Vendor Registration & Pre-qualification

    • Coordinate and track vendor registration and pre-qualification submissions to IOCs and contractors
    • Maintain up-to-date documentation, certifications, and company credentials
    • Monitor renewal dates for vendor registrations and initiate renewal processes in advance

    Market Intelligence & Research

    • Conduct research on industry developments, competitor activity, and IOC project pipelines
    • Compile periodic market intelligence summaries for the BD Lead
    • Track offshore Nigeria project news via industry publications and alert the team to relevant developments Administrative & Departmental Support
    • Manage departmental filing, correspondence tracking, and document control
    • Coordinate logistics for industry events, conferences, and meetings
    • Process expense retirements and maintain records of BD expenditure against the quarterly budget
    • Support any other commercial or administrative activities as directed by the BD Lead.

    Requirement:

    • Education: Bachelor's degree in Business Administration, Maritime Studies or a related discipline
    • Experience: Minimum of 3-5 years in a business development, commercial, or administrative support role
    • Industry: Experience in oil & gas, offshore logistics, maritime services, or related sectors is preferred

    Human Resources and Administration Associate

    Responsibilities:

    Human Resources responsibilities

    • Review the biometrics attendance report and advise staff of lateness frequencies
    • Process payroll and resolve any payroll errors; provide relevant data (attendance, absence, leave)
    • Ensure monthly issuance of NSITF receipt and annual issuance of NSITF Clearance certificate
    • Prepare letter for Accrued Remittances for EX staff for PFA as need required
    • PENCOM (Monthly): Ensure to keep a soft copy schedule of evidence of remittance, Pension Contribution for employer & employees
    • PENCOM (Year End): Maintain a record of Certified one month salary, certifies list of employees in the organization, statement of rate of pension contribution
    • Ensure issuance of PENCOM Certificate by the 31st of January of the following year

    Requirement:

    • Professional certification in Human Resources Management (such as CIPM, SHRM, HRCI, CIPD) will be an added advantage.
    • Minimum of 3 years' work experience within a structured organization.
    • Fast computer typing skills (MS Office, in particular)
    • Basic knowledge of labour laws

    Procurement Officer

    Responsibilities:

    •  PR to PO cycle should be between 1-3 days for standard purchase.
    •  Send out RFQs for all goods and service requests, ensuring timely expediting within 24-48 hours
    •  Send RFQ within 48 hours of receiving a requisition, and prepare a transparent and objective quote analysis to facilitate fair and competitive bidding.
    •  Raise and issue Purchase Orders for all vendor engagements related to goods or services, ensuring all necessary details are captured and communicated before service/delivery commencement.
    • Liaise with suppliers to ensure timely delivery of goods and services.
    • Conduct price comparisons vis-à-vis value to ensure cost-effective purchasing.
    • Maintain relationships with existing suppliers and identify new supplier opportunities.
    • Support the negotiation of contracts, terms, and pricing with vendors.
    • Track and expedite all Purchase Orders, ensuring strict adherence to contract terms and protecting HPEL's interests throughout the procurement process.
    • Provide weekly reports on vendor performance and PO status, including updates on payment requests and job completions for submission to the finance team.
    • Raise and submit payment requests to the finance department within 12 hours after receiving approval, ensuring timely vendor payments.
    • Ensure all Job Completion Certificates and Item Supply Forms from user departments are correctly saved in the One Drive Folder on a weekly basis and monitor the filing to comply with company standards.
    • Maintain proper filing of all transaction documents, ensuring they are sorted into appropriate folders by the 27th of every month.
    • Ensure that Service Level Agreements (SLAs) with vendors are signed and appropriately stored at the beginning of each year

    Requirement:

    • Bachelor's degree in Supply Chain Management, Business Administration, Procurement, Logistics, or a related field.
    • Minimum of 0-2 years of post NYSC experience in procurement or supply chain management
    • Membership of professional bodies would be an added advantage

    Control Room Officer

    Responsibilities:

    • Conduct daily Control Room operations with the utmost integrity and efficiency.
    • Manage the main switchboard, answering all incoming calls courteously and promptly directing them to the appropriate departments.
    • Monitor and track the positions of all company vessels daily using Marine Traffic, AIS (Automatic Identification System), SSAS, and Falcon Mega Track.
    • Ensure the timely submission of vessels' Daily Progress Reports (DPR).
    • Review DPRs for accuracy, flag any inconsistencies or errors for correction, and log the consumption of fuel, lube/hydraulic oil, food, and water.
    • Tabulate daily consumption figures to verify the vessel's Remaining on Board (ROB) metrics upon arrival at the Jetty, with final checks conducted at the end of each month.
    • Review sailing reports for vessels on assignment, log them in the record book, and verify the accuracy of information with Marine Traffic and EFMS (coordinates).
    • Generate sailing reports from Marine Traffic and EFMS during SAT mail downtime and forward them to Operations for client follow-up.
    • Monitor the performance of security systems (FMT-SSAS, AIS, EFMS, and CCTV) daily, and report any deficiencies to the Head of Security.
    • Download and review CCTV footage from vessels monthly, reporting any unusual activity to the Head of Security.
    • Prepare and send daily situation reports of the head office to the Head of Security, with copies to the Security and Operations departments.
    • Monitor vessel movements and positions offshore, especially in the event of satellite mail system failures.
    • Promptly perform and document monthly FMT-SSAS checks, maintaining accurate records of all communications, and prepare FMT-SSAS Checks Reports for the Head of Security.
    • Send weekly and monthly reports on vessel activities to the Head of Security.
    • Receive notifications of cybersecurity incidents, emergencies, and issues from all vessels and the Head Office, and relay them to the appropriate leadership positions.
    • Conduct regular training sessions for all staff to maintain awareness of cybersecurity information, threats, and prevention methods.
    • Conduct spontaneous checks on departments to ensure compliance with cybersecurity policies.

    Requirement:

    • Bachelor's degree in computer science or other IT related discipline
    • Minimum of 3 years' relevant experience in similar role
    • Knowledge of security operations and procedures
