Conduct periodic unannounced property inspections during weekends, nights, and early mornings to assess the performance of key service providers, such as janitorial, landscaping, security, and technician/handyman services.
Embrace the "Manage by walking around" (MBWA) approach to ensure hands-on management of facility operations.
Collaborate with the Portfolio Manager in selecting and evaluating service providers to meet property standards.
Ensure full compliance of all service providers with property specifications and company standards.
Supervise daily inspections and preventive maintenance plans for various components, including the building (ceiling, walls, floors, windows, etc.), generators, all offices within the building, premises grounds (including parking facilities), sanitation (with a focus on toilets), and possible annex locations within the facility.
Oversee the resolution of maintenance issues related to the interior and exterior of the building, taking necessary corrective actions.
Manage property to identify, prevent, address, and eliminate all environmental, health, and safety issues.
Conduct regular periodic fire and life safety inspections to maintain a secure environment.
Provide for records destruction services as needed to protect proprietary information.
Monitor utility usage and implement adjustments in usage patterns to minimize costs effectively.
Offer project management services for small projects as directed by management, while also serving as a resource for interior planning, furniture reconfiguration, and internal client moves.
Conduct periodic property reviews to develop and maintain plans for handling major storms, security risks, and other extraordinary events.
Maintain a strong liaison relationship with landlords or landlord representatives to facilitate smooth communication and problem-solving.
Qualifications
First degree in an Engineering field (preferably Electrical or Mechanical).
Minimum of 5 years of experience in facility management in a built environment
Strong interpersonal and communication skills to interact effectively with clients and team members.
Proficient in reporting and administrative writing to ensure accurate documentation.
Diplomatic, tactful, discreet, flexible, resourceful, and dependable.
Exceptional problem-solving and conflict-management abilities.
Customer service-oriented with great attention to detail and accuracy.
Skilled in information gathering and monitoring to make informed decisions.
