    Junior Business Operations Manager

    Role Summary

    Tobams Group is seeking a highly organized and proactive Junior Business Operations Manager to support the execution of key operational, recruitment, product delivery, and expansion initiatives across the group.

    • In this role, you will work closely with the Team Lead and external stakeholders to ensure projects are delivered efficiently, internal processes are followed, and cross-functional teams stay aligned. You will also support recruitment operations, stakeholder engagement, product delivery coordination, and international expansion activities.
    • This is a hands-on role suited for someone who thrives in a fast-paced environment, enjoys managing multiple workstreams, and is passionate about building systems that improve execution.

    Key Responsibilities

    Business Operations & Administrative Support

    • Support day-to-day operations including planning, documentation, reporting, and task tracking.
    • Maintain up-to-date internal documentation such as SOPs, strategy decks, project briefs, feasibility reports, and trackers.
    • Track progress against internal goals, timelines, and KPIs.
    • Provide administrative support to leadership and cross-functional teams to ensure smooth execution of deliverables.

    Recruitment & Hiring Operations

    • Support end-to-end recruitment processes across Tobams Group.
    • Collaborate with team leads to develop and refine job descriptions (JDs) and role requirements.
    • Coordinate with the development team to ensure application forms/pages are created and functional.
    • Support job advertising and promotion across social media platforms when required.
    • Manage shortlisting and applicant communication.
    • Coordinate assessments: sending assessment tasks, communicating deadlines, and following up on submissions.
    • Liaise with team leads to ensure timely review of assessment submissions.
    • Schedule interviews for qualified candidates and coordinate interview logistics.
    • Support offer management including sending offer letters, ensuring contracts are issued, signed, and properly documented.
    • Coordinate onboarding processes including documentation, internal introductions, and onboarding checklists.

    Project Coordination & Cross-functional Execution

    • Coordinate internal projects across multiple teams (Product, Marketing, Operations, Recruitment, Partnerships).
    • Support project planning by tracking deliverables, deadlines, risks, and dependencies.
    • Ensure communication flows across teams to prevent delays and missed handoffs.
    • Prepare meeting notes, action items, and follow-up documentation.

    International Expansion & Market Research Support

    • Assist in the coordination of international product launch activities (US, UK, and Europe).
    • Conduct and compile market research including compliance requirements, pricing benchmarks, and fulfillment strategies.
    • Support the setup and configuration of platforms for international launches (e.g., Amazon and other ecommerce tools).
    • Support documentation of regional expansion strategies and feasibility studies.

    Product Delivery, Inventory & Supplier Coordination

    • Support coordination with suppliers and vendors to procure materials for events and projects.
    • Assist with product delivery coordination across business units.
    • Support inventory tracking and stock management for products such as Rare Eat and books.
    • Work with relevant teams to ensure fulfillment timelines and product delivery processes are followed.

    Stakeholder Engagement & Partnerships Support

    • Support stakeholder engagement activities including communications, scheduling, documentation, and follow-ups.
    • Assist in managing relationships with partners, collaborators, and external stakeholders.
    • Support preparation of stakeholder materials, engagement documents, and presentations.
    • Support grant research by identifying relevant funding opportunities aligned with Tobams Group’s initiatives.
    • Assist in drafting grant requirements, summaries, and supporting documentation.
    • Help coordinate internal inputs needed for proposals and reporting.

    Skills & Qualifications

    • 1–3 years experience in business operations, project coordination, admin support, HR/recruitment operations, or similar roles.
    • Strong organizational and multitasking ability with attention to detail.
    • Excellent written and verbal communication skills.
    • Strong follow-up culture and ability to manage deadlines across multiple stakeholders.
    • Comfortable working with business tools such as Google Workspace, Jira, and Excel/Sheets.
    • Ability to conduct research and present findings clearly in reports or slides.
    • Ability to work independently in a remote environment while staying accountable.
