    Human Resource Assistant

    ABOUT THE JOB 

    Under the HR Officer’s supervision, the HR Assistant is responsible for the effective and consistent implementation of HR processes, functions & procedures, monitors HR projects and workflow and oversees all aspects of Human Resources practices and processes and general office operations. The HR Assistant is to promote corporate values and permit organizational success through human resources management, including staff appraisal, training, and capacity development, employment cycle management, and support in the handling of recruitment of personnel. She/he should be analytical, knowledgeable, and organized with a proactive attitude and strong leadership skills. 

    MAIN RESPONSIBILITIES: 

    The HR Assistant will be responsible for the following, including those not listed but are extensions of those expressly stated:

    • The HR Assistant will be responsible for the following duties (including related tasks that naturally extend from those listed):
    • Perform general administrative duties, including maintaining the employee database, updating records, and managing an efficient filing system (both physical and digital).
    • Maintain accurate records of employee attendance, leave requests, and time-off tracking to support payroll and compliance processes.
    • Assist the HR Officer in recruitment activities, hiring processes, onboarding, and salary administration.
    • Post online job advertisements, screen applications, schedule interviews, and support the full recruitment lifecycle.
    • Coordinate and facilitate orientation programs, induction sessions, and training activities for new and existing employees.
    • Prepare and complete required documentation and paperwork for new hires, ensuring accuracy and timeliness.
    • Support the preparation of corrective action memos, performance improvement plans, and related documentation; attend or conduct sessions as needed and perform follow-up actions.
    • Update the HR database, personnel files, and applicant tracking systems to ensure smooth HR process management and data integrity.
    • Maintain comprehensive records of applicants, interviews, and hiring data in the HR system.
    • Respond promptly and professionally to employee inquiries, grievances, and concerns, ensuring satisfactory resolution in line with company policies.
    • Counsel employees on HR policies, procedures, benefits, and practices, serving as a reliable point of contact.
    • Identify employee performance issues, training needs, and career development opportunities; make appropriate recommendations to the HR Officer.
    • Maintain all personnel files in compliance with organizational policies, data privacy regulations, and record-keeping standards.
    • Contribute to team efforts by accomplishing related results as needed and supporting various HR initiatives.

    Qualifications and Skills

    • Bachelor’s degree in Human Resources Management, Business Administration, or a related field (preferred).
    • 1–3 years of experience in an HR administrative or support role.
    • Strong knowledge of HR processes, employment cycle management, and basic labor laws.
    • Proficiency in HR software/databases, Microsoft Office Suite (especially Excel and Word), and general office tools.
    • Excellent organizational, multitasking, and time-management skills with high attention to detail.
    • Strong interpersonal and communication skills (verbal and written).
    • High level of confidentiality, integrity, and professionalism.
    • Proactive mindset with the ability to work independently and as part of a team.
    • Analytical thinking and problem-solving abilities

    KNOWLEDGE & SKILLS: 

    1. The ability to multitask. 
    2. Effective communication skills in English and Hausa 
    3. Excellent knowledge of Nigerian humanitarian aid and development context 
    4. Excellent reporting skills 
    5. Computer proficiency (word, excel, and internet) (excel skills is very Important)
    6. Good analytical skills, at ease with figures and data. 
    7. Adaptability and flexibility – willing to work on a variety of projects and perform in multiple roles 
    8. Demonstrate ability to work with different communities, leaders, and staff. 
    9. A good sense of judgment and a high degree of professionalism is required. 
    10. Knowledge of conflict resolution and negotiations
