Summary
We are seeking for our client a highly organized, proactive, and detail-oriented Executive Assistant to support senior leadership and drive operational efficiency. This role goes beyond traditional administrative support and is ideal for a candidate who can function as an Executive Operations Coordinator, ensuring seamless workflow management, strong follow-through, and accountability across teams.
The successful candidate will have prior experience supporting a CEO, Director, or other senior executives within a corporate or structured business environment.
Key Responsibilities
Executive & Operational Support
- Manage executive calendar, meetings, appointments, and shifting priorities.
- Ensure schedules are aligned with business goals and strategic priorities.
- Prepare daily and weekly executive work plans.
- Translate management directives into structured tasks and actionable plans.
- Manage incoming communication including emails, reports, and messages.
- Draft professional correspondence and responses on behalf of the executive.
- Summarize key updates, issues, and reports for executive decision-making.
Coordination & Accountability
- Track assignments across multiple teams including General Manager, Construction Manager, Site Teams, Consultants, Legal, and Admin.
- Monitor deadlines, follow up on deliverables, and escalate delays where necessary.
- Ensure accountability and timely execution across departments.
- Prepare meeting agendas, record action points, and ensure follow-through.
Documentation & Information Management
- Maintain structured filing systems (digital and physical).
- Ensure all documents are properly labeled, version-controlled, and easily retrievable.
- Support organized documentation across projects and departments.
- Manage workflow documentation, reports, and internal information flow.
Candidate Requirements
Experience (Non-Negotiable)
- Minimum of 3–5 years’ experience supporting a senior executive (CEO/Director level) or functioning as a Project Coordinator / Executive Assistant.
- Demonstrated experience managing multiple priorities simultaneously.
- Strong track record in task management, reporting, follow-ups, and documentation control.
Education & Certifications
- Bachelor’s degree in any relevant discipline.
- Project Management certification such as PMP, PRINCE2, or equivalent is preferred.
