Maintain an organized filing system and keep records up to date.
Order office supplies and handle day-to-day administrative tasks as required.
Manage personal errands for the CEO, as needed.
Help manage relationships with key clients, investors, contractors, and other stakeholders in the property development industry.
Respond to inquiries on behalf of the CEO and ensure a positive representation of the company.
Serve as a liaison between internal teams and external partners, ensuring clear communication and project progress.
Assist the CEO in tracking project timelines, deadlines, and deliverables related to property development projects.
Arrange travel, accommodation, and logistics for both domestic and international trips.
Ensure the CEO has all the necessary documentation for travel (tickets, itineraries, etc.).
Organize and prepare materials for meetings, including agendas and notes.
Attend meetings with the CEO, take minutes, and follow up on action items.
Ensure CEO’s time is effectively allocated by coordinating meetings, calls, and key appointments.
Manage the CEO’s calendar, scheduling meetings, appointments, and travel.
Coordinate and prioritize the CEO’s communications, including emails, phone calls, and other correspondence.
Prepare and edit reports, presentations, and other documents for CEO’s meetings and business presentations.
Handle confidential information with discretion and integrity.
Requirements
Bachelor’s degree in Business Administration, Management, or a related field (preferred).
Minimum of 3-5 years of experience as a personal assistant or executive assistant, preferably within the property development or real estate industry.
Exceptional organizational and multitasking abilities.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Experience with calendar management and travel booking systems.
Ability to work independently, prioritize tasks, and manage time effectively.
Discretion and confidentiality in handling sensitive information.
