We are seeking a highly skilled and professional Executive Assistant to support our Managing Director (MD). Our ideal candidate is proactive, detail-oriented, and possesses exceptional organizational and communication skills.
This role demands utmost professionalism, discretion, and the ability to handle multiple tasks efficiently.
Key Responsibilities
Provide high-level administrative support to the MD, including managing calendars, scheduling meetings, and coordinating travel arrangements.
Act as the primary point of contact between the MD and internal/external stakeholders.
Prepare and edit correspondence, communications, presentations, and other documents.
Handle confidential information with discretion and maintain the highest level of professionalism.
Conduct research, compile data, and prepare reports for consideration and presentation by the MD.
Assist in planning and executing events, meetings, and conferences.
Monitor and manage emails, ensuring timely responses and follow-ups.
Organize and maintain files, records, and documentation in an efficient and easily accessible manner.
Coordinate and liaise with other departments to ensure seamless operations.
Anticipate the MD’s needs and proactively provide solutions and support.
Perform other duties as assigned by the MD to ensure smooth business operations.
Qualifications and Skills
Educational Qualification: Bachelor's Degree in Business Administration, Management, or a related field. Advanced degree is a plus.
Experience: Minimum of 5 years of experience as an Executive Assistant, Personal Assistant, or in a similar role supporting senior executives. Experience working with foreign clients is required.
Technical Skills: Proficient in Google Workspace tools, including Google Docs, Google Sheets, Google Slides, Google Calendar, Google Drive, Google Meet, Gmail, Google Forms, and Google Sites. Familiarity with project management and scheduling tools (e.g., Trello, Asana) is advantageous.
Communication Skills: Excellent verbal and written communication skills. Ability to communicate effectively with individuals at all levels of the organization.
Organizational Skills: Strong organizational and multitasking abilities. Ability to prioritize and manage multiple tasks and projects with a keen eye for detail.
Problem-Solving: Exceptional problem-solving and decision-making skills. Ability to think critically and act decisively.
Time Management: Excellent time management skills with the ability to work under pressure and meet tight deadlines.
Interpersonal Skills: High level of professionalism and interpersonal skills. Ability to build and maintain positive working relationships.
Discretion: Demonstrated ability to handle confidential information with the utmost discretion.
Adaptability: Ability to adapt to changing priorities and work independently with minimal supervision.
Attention to Detail: Meticulous attention to detail, ensuring accuracy in all tasks and communications.

Travel Coordination: Experience in coordinating complex travel arrangements, including international travel.
Event Planning: Experience in organizing and coordinating events, meetings, and conferences.
