    Human Resources & Admin Assistant

    The position

    Supports HR Admin Department in the preparation of HR tasks and maintenance of staff information. Works within the HR administration procedures of DRC, municipal policies and procedures and in compliance with all national acts and legislation. The HR Admin Assistant supports the HR Admin Officer with reports for senior management in country.

    Key role

    Responsibilities:

    Administration

    • Update personal files
    • Leave planning follow up
    • Leave request follow up
    • Compile approved timesheets, carry out filling and send scanned copies to HR team lead and HRCO
    • Ensure to add new staff for location on the Nigeria Staff Contact list upon request from HR Dept. CO
    • Making requisition for Office cleaning materials/replenishing
    • Solely in charge of stock management – office supplies and guest house supplies.
    • Drafting and sending Service Contract to the Casual Labors, examples are; Cook, Cleaners, Gardner etc.
    • Coordination of the dates and venues according to request;
    • Refreshments and other requirements
    • Coordinate accommodation in Guest House and/or hotel.
    • Assist in enquiries from delegates.
    • Assist with taking minutes of the events if required.

    HR

    Recruitment

    • Support the HR Team leader  in the recruitment process
    • Ensure required documents from the recruitment are send to HR Department Coordination Office
    • Ensure that vacancy adverts are announced in time and according to the Recruitment Authorization
    • Distribute information about open vacancies to all staff and announce on local notice board in a timely manner.

    Guest House Management

    • Updating Guest Accommodation status and allocate rooms to expat as directed by the HR team /Area manager.
    • Follow up with Janitorial  staff to make sure that all  100% hygiene is maintained in the guest house.
    • Supervision of cooks and janitorial  staff members.
    • In collaboration with the Logistics department coordinate  the maintenance  of all guest house appliances, gym equipment etc.
    • Takes lead to review Guest House Utensils and makes requisition
    • Monthly meeting and bi-weekly inspection of Guest House

    Contract Casual Labor

    • Drafting Casual Labor Contracts e.g. programme staff/location. (approved by Area Manager.)
    • Complie complete documentation for the payment of Causal staff and follow up with the  finance department for prompt payment

    Contract Process

    • Ensure offer letter / contract request is completed and forwarded to HR Dept. CO
    • Ensure that the employee receives and sign contractual documents.
    • Ensure the original signed contract document is send to HR Dept. CO
    • Data form is completed, correct and received by HR Dept. CO
    • ID Card is issued
    • Inventory receivable form

    Key Requirements

    Education:

    University degree in Human Resources/Administration, Business Administration , Sociology, International relations,Statistics and other related discipline.

    Experience:

    At least one-year work experience in field of Human Resources and Administration in an NGO/Commercial sector

    Desirables:

    • Hands-on experience/skills in MS Office applications (Excellent computer skill)
    • Ability to work under pressure to deadlines and stress.
    • Ability to work independently on his or her own initiative with problems solving skills
    • Strong team and interpersonal skills
    • Fluency in written and spoken English.

    Conditions

    Availability: ASAP

    Salary and conditions: In accordance with Danish Refugee Council’s Terms of Employment;

    The income will be subject to statutory deductions as per applicable Nigeria laws. The employee is responsible for the tax returns.
