    Personal Assistant

    Job Summary

    • The Personal Assistant works with the Managing Director in the preparation and presentation of reports, proposals and related activities in servicing and developing contracts and relationships with key internal and external stakeholders.
    • Organizing/conducting business review meets in order to track business operational performance.

    Responsibilities

    • Coordinate and ensure that the MD office materials and inputs for board meetings are adequately available;
    • Assisting the Managing Director (MD)and handling all other subsidiaries owned thereto
    • Devising and maintaining office systems, including data management and filing;
    • Arranging travel, visas, accommodation and, occasionally, travelling with the MD to take notes or dictation at meetings or to provide general assistance during presentations;
    • Screening phone calls, enquiries and requests, and handling them when appropriate;
    • Meeting and greeting visitors at all levels of seniority;
    • Organizing and maintaining diaries and scheduling appointments;
    • Dealing with incoming email, faxes and post, often corresponding on behalf of the MD;
    • Carrying out background research and presenting findings;
    • Producing documents, briefing papers, reports and presentations;
    • Organizing and attending meetings and ensuring the MD is well prepared for meetings;
    • Carrying out specific projects and research as assigned;
    • Assisting the MD with her accounts and budgets subject to her directions and express instructions;
    • Taking on some of the MD's responsibilities and working more closely with management;
    • Deputizing for the MD, making decisions and delegating work to others in the MD's absence.
    • Provide HR support when required (i.e. appraisal process management, , assisting with escalated HR issues such as grievance and disciplinary matters, training, recruitment)
    • To be available to work unsociable hours, evenings, weekends and public holidays when required
    • To undertake any other duties which are consistent with the basic objectives and or/ duties of the post
    • Ability to work as part of a team
    • Dealing with and sorting out regulatory issues;
    • Screening phone calls, enquiries and requests, and handling them when appropriate;
    • Organizing and attending meetings and ensuring the MD is well prepared for meetings;
    • Liaising with clients, suppliers and other staff;
    • Carrying out specific projects and research as assigned;
    • To be available to work unsociable hours, evenings, weekends and public holidays when required;
    • To undertake any other duties assigned.

    Requirement And Experience

    • Male Preferably
    • Minimum of 3 years’ previous work experience as a Personal Assistant
    • Bachelor's degree preferably in Business administration, Business management or any related discipline.

    Required Skills:

    • Ability to work independently and as part of team.
    • Ability to use Microsoft office suite, PowerPoint, excel, CorelDraw or Adobe illustrator;
    • Ability to meet deadlines;
    • Excellent verbal and written articulation;
    • Ability to be self-motivated.

    Technical Assistant

    Job Summary

    • The Technical Assistant will provide technical and administrative support to the office of the Managing Director.
    • Other duties are of a highly confidential nature and require extensive experience in the technical coordination, planning, and support of daily operational and administrative functions.

    Responsibilities

    • Provide technical assistance to the Managing Director
    • Manage and maintain complex calendar coordination for the Managing Director.
    • Assist with project coordination, maintenance and reporting; including creation of status reports and metrics.
    • Conduct business surveys: compute, review and interpret data
    • Carry out research, technical studies, projects and analysis, using relevant research methods/ tools.
    • Carry out statistical analysis, forecasting, analyzing trends and making relevant recommendations.
    • Analyze business cycle, patterns and trends.
    • Source and create technical documents and information
    • Write and present technical reports, reviews, etc
    • Devising and maintaining office systems, including data management and filing
    • Dealing with and sorting out regulatory issues

    • Keep abreast of the technical developments to provide excellent service to clients.

    • Organizing and attending meetings and ensuring the MD is well prepared for meetings
    • Liaising with clients, suppliers and other staff
    • Carrying out specific projects and research as assigned
    • Perform any other assigned duties.

    Requirement and Experience

    • Minimum of 3 years post NYSC cognate experience in a technical role, including some experience working with senior management
    • Must have minimum of 2 years’ experience in Project Management
    • Experience in the oil & Gas sector will be an added advantage
    • BSc in Business Administration, Project management or any management related discipline
    • A clear focus on results - sets goals, plans, and prioritizes effectively, monitors quality and progress of work against plans.
